Position Summary:
We are seeking a highly organized and proactive Administrative Support Assistant to join our team. This role blends front office support, administrative coordination, and executive-level assistance. The ideal candidate is detail-oriented, adaptable, and comfortable managing a variety of responsibilities in a fast-paced environment.

Key Responsibilities:
- Provide executive-level administrative support as requested
- Coordinate calendars, meeting schedules, and itineraries for leadership team
- Provide front desk coverage as needed, including lunch breaks and staff absences
- Support daily office operations, including organization, mail distribution, and supply management
- Manage office supply inventory and place weekly or biweekly orders
- Generate copies and materials for office staff
- Maintain and update internal lists (e.g., regime lists, rental management companies)
- Create and maintain digital logs for outsourced service calls and in-house maintenance projects
- Ensure all office forms are accurate, updated regularly, and professionally formatted
- Organize and maintain shared digital files for team access and review
- Communicate regularly with gate and patrol personnel regarding supply needs
- Coordinate scheduling of outsourced cleaning services and ensure quality standards are met
- Monitor and restock consumable items (consumables and other meeting supplies) based on office needs
Qualifications:
- Associate or bachelor's degree required (or currently in progress)
Preferred fields of study: Hospitality, English, Business Administration, or related areas
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office or similar software
- Ability to work independently and handle confidential information with discretion
- Customer service or hospitality experience strongly preferred
