Front Desk & Mail Associate – Coworking Space


Location: Shift Workspaces– Bannock – 1001 Bannock St Denver, CO 80204

Schedule: Full-Time, 40 hours/week, Monday through Friday, 8:00-5:00PM, all in office.


Shift Workspaces, Denver’s premier luxury coworking space, is seeking a Front Desk & Mail Associate to provide exceptional service to our members. This position plays a vital role in managing daily operations across mail services and coworking community needs. Reporting to the General Manager, this role is perfect for a highly organized, detail-oriented professional who thrives in a dynamic, hospitality-driven environment.


Key Responsibilities

Mailroom Operations:

  • Receive, sort, and distribute incoming mail, packages, and courier deliveries accurately and efficiently
  • Maintain an organized mailroom system, ensuring packages and correspondence are accounted for and easily accessible.
  • Update the mail management platform daily and perform pertinent tasks as requested by members.
  • Ensure the USPS platform is consistently updated with all CMRA (Commercial Mail Receiving Agency) paperwork, maintaining compliance and accuracy.
  • Conduct weekly, biweekly and monthly member mail forwarding
  • Notify members of package arrivals promptly and ensure secure storage until pick-up.
  • Regularly audit mailroom supplies (e.g., shipping labels, packing materials) and place replenishment orders as needed.


System Management:

  • Regularly update Yardi Kube, Salesforce, and Piloto Mail platforms with relevant mail, member, and operational information.
  • Enter weekly and monthly charges, ensuring members are charged accurately and in a timely manner.
  • Monitor and optimize workflows across all platforms, identifying opportunities to improve operational efficiency.
  • Audit systems periodically to maintain accuracy and identify areas for improvement.
  • Assist with administrative support for the operations team, including logging data into the CRM and managing related documentation.
  • Upkeep of all Channel Partner mail systems including Anytime Mailbox, Davinci, Alliance, and Opus
  • Assist General Manager with billing procedures at the end of the month, including completion of the center’s printing and postage report


Member Support:

  • Greet and assist members and guests
  • Serve as the primary point of contact for members regarding mail and package inquiries, providing courteous and timely assistance.
  • Assist members as needed with onsite requests, including building logistics, conference room bookings, day pass bookings, and other applicable needs.
  • Address member concerns related to mail handling and onsite services, escalating issues to the General Managers when necessary.
  • Assist General Manager with any onsite operational needs including member requests, meeting-related tasks and catering needs

· Assist with member move out, collect keys and complete an office walk through

· Full knowledge of reoccurring technology issues, and how to troubleshoot. Assist members with all internet issues

· Create, review, and generate invoices for day passes, private office day passes, meeting rooms, postage, prints and catering


Community Engagement:

  • Build relationships with Shift Workspaces members by delivering excellent service and fostering a welcoming atmosphere.
  • Collaborate with the community team during member events to support logistics and ensure smooth operations
  • Assist the General Manager with community wide touchpoints


Facilities:

· Support the General Manager in overseeing facilities management, including vendor relations for repairs and maintenance.

· Collaborate with the Day Porter on measures for cleanliness, facility amenities, and member satisfaction.

· Work with General Manager on any private office furniture removal or addition as needed

· Promptly respond to members or guests requests including HVAC, A/V, janitorial, printing, parking, mail, or postage needs


Brand Alignment and Development:

  • Work alongside the General Manager to understand, embrace, and embody the Shift Workspaces brand.
  • Consistently exhibit and promote the Shift Workspaces brand identity through interactions with members, prospective clients, and investors.
  • Participate in training and development initiatives to deepen understanding of Shift Workspaces' mission and vision, applying this knowledge to daily responsibilities.

Work Environment:

This job operates in a cool shared workspace that is vibrant, fun, and productive! This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Walking, bending, sorting, standing, sitting, are all involved in this job. Some light lifting of boxes, up to 25 pounds, is required on occasion. Pay rate: $58,000/year

Reports to: General Manager

POSITION TYPE/EXPECTED HOURS OF WORK: This is a full-time position. While performing the duties of this job, the employee regularly works in an office setting, standard days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m., some nights and weekends may be required. Travel to the three Shift locations in addition to community events is required.
