Position Overview
The Meals on Wheels Operations Assistant plays a vital role in supporting the efficient operation and management of the Meals on Wheels program. This position assists the Program Manager in meal planning and preparation, inventory control, meal deliveries, volunteer coordination, and community outreach ensuring that clients receive nutritious meals and compassionate service.
Chain of Command
The Operations Assistant reports directly to the Program Manager to provide clear oversight and guidance in all aspects of the Meals on Wheels program. In this role, the Operations Assistant works in close collaboration with kitchen staff, delivery drivers, and volunteers. This collaboration is essential for maintaining efficient daily operations and effective communication across all parts of the program.
As a key liaison, the Operations Assistant facilitates the flow of information between the kitchen, delivery team, clients, and community. This position helps coordinate and streamline communication, ensuring that client needs are met, delivery schedules are maintained, and any issues are promptly addressed. By serving as a central point of contact, the Operations Assistant plays a crucial role in supporting teamwork and promoting a smooth workflow throughout the Meals on Wheels program.
Key Responsibilities
· Program Support: Assist the Program Manager with daily operations including scheduling, logistics, and meal distribution.
· Volunteer Coordination: Help recruit, train, and schedule volunteers for meal delivery routes; communicate assignments and relay important updates.
· Client Services: Respond to client inquiries, update client records, and ensure that dietary needs and delivery preferences are accurately recorded.
· Meal Preparation and Delivery: Administer the preparation of delivery routes; assist in meal preparation, warewashing, and utility duties; ensure meals are ready for distribution; and resolve delivery issues as they arise.
· Record Keeping: Maintain accurate documentation of inventory, deliveries, volunteer hours, client feedback, and program statistics.
· Community Engagement: Assist with outreach activities, events, and communication to promote the Meals on Wheels program.
· Safety & Quality Assurance: Adhere to and monitor food safety practices and ensure compliance with applicable policies and regulations.
· Reporting: Prepare reports for the Program Manager regarding program performance, operational challenges, and client satisfaction.
Qualifications
· High school diploma or equivalent; college coursework or career training preferred.
· Previous experience in social services, nonprofit, culinary, nutrition, or administrative roles is a plus.
· Ability to follow recipes, prep and cook independently, adhering to dietary restrictions and preferences.
· Strong organizational and communication skills.
· Ability to work collaboratively with diverse groups of people.
· Competence with Microsoft Office Suite (Word, Excel, Outlook).
· Valid driver’s license and reliable transportation.
· Commitment to serving seniors and vulnerable populations with compassion.
· ServeSafe certification or acquisition of certification within 60 days of employment.
Working Conditions
· This is a part-time position, typically Monday through Friday, 10 – 20 hours per week.
· Some local travel may be required for deliveries, meetings, or outreach events.
· Occasional lifting of containers and supplies (up to 50 lbs).
· Work is performed in an office, kitchen, and community setting.
Compensation
This position is compensated on an hourly basis. The starting pay rate ranges from $10 to $15 per hour, with the exact amount determined by the candidate’s experience level.
