What are the responsibilities and job description for the Administrative Specialist position at Shenandoah Valley Music Festival?
Job Summary
Overview: Shenandoah Valley Music Festival is seeking a DEI (Director of Everything Important) for a part-time position for most of the year, but full-time plus overtime on concert weekends in the summer. The successful candidate will love spreadsheets more than sleep and thinks “data integrity” sounds like a good time. This person will oversee literally everything nobody else wants to do: bookkeeping, financial administration, payroll, data systems, box office, IT, philanthropy management (that’s a fancy way of saying “sending out thank you notes”) and making sure all the moving parts don’t collide into a fiery explosion. Known as the “detail detective,” this role requires someone who thrives on accuracy, never forgets to track a receipt, and has the patience of a saint when teaching someone (again) how to buy tickets on-line.
General Duties: The successful candidate is the human duct tape holding SVMF together. On any given day, you might reconcile checkbooks and budgets, compile statistics for a grant proposal, write lovely thank you notes to donors, plunge a toilet (don’t ask), and reassure panicked volunteers that “it’s just a small thunderstorm.” You will manage a ton of stuff, put out fires (figuratively… probably), and somehow keep smiling while doing it.
Qualifications
- Must enjoy data, numbers, and reporting. (Yes, some people really do enjoy these things!)
- Must be able to lead a diverse team of humans with patience, humor, and caffeine.
- Must be fluent in the art of polite but firm emails.
- Must be self-motivated, proactive, and able to work inside and outside without convincing yourself there are bears nearby.
- Knowledge of music and arts operations is a plus, but mostly we just want someone who won’t run when things get weird.
Seriously, though, we really are looking for an experienced Administrative Specialist for the Shenandoah Valley Music Festival. Salary is hourly: in the mid to high$20s per hour based on experience. Position is open until filled. Those interested should send a resume and cover letter to svmf(at)musicfest.org, with “administrative specialist” in the subject line. Or, if USPS is more your thing, you can send your letter and resume to SVMF, 238 North Main Street, Woodstock, VA 22664.
Experience
- Prior office experience in administrative roles with a proven track record of effective office management and customer service excellence.
- Familiarity with computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace tools (Docs, Sheets), and data entry software.
- Knowledge of QuickBooks or similar bookkeeping software is necessary.
- Strong, strong, strong organizational skills combined with excellent time management capabilities to prioritize tasks efficiently. Did I mention "strong organizational skills?)
- Demonstrated professionalism in handling confidential information with discretion and maintaining high standards of accuracy in proofreading and documentation.
- Must possess an amazing sense of humor.
