Shenandoah is looking for a Government Programs Supervisor. This position is primarily responsible for Outreach and Enrollment & Sliding Fee functions and performs reconciliation of patient and non-patient revenue reconciliation between Billing and Accounting software and bank reconciliation.
Role & Responsibilities:
Sliding Fee duties and responsibilities:
- Effectively manages all policies and procedures related to the Sliding Fee Program in coordination with the Controller and CFO. Makes suggestions for changes and updates to the program where necessary.
- Must renew yearly certification through the Marketplace for the ACA Program to assist in enrollments and keep up to date on all changes within the program.
- Maintain the SVMS Sliding Fee Scale in accordance with the Federal Poverty Guidelines yearly.
- Prepare and process the yearly Sliding Fee audit, including pulling all applications associated with that year’s audit request, ensuring accuracy, completion, and consistency, then scanning them for audit.
- Maintain the SVMS certification through CMS by completing the certification program for both West Virginia and Virginia biennially.
Reviews all work of the Sliding Fee Associate as follows:
- Responsible for development and training of the Sliding Fee Associate on all programs, to include the Sliding Fee Program, the ACA Program, and Medicaid enrollment.
- Re-calculates and approves all incoming sliding fee applications for accuracy, completeness, and consistency.
- Monitors the Sliding Fee Associate’s files to ensure the applications are organized in the following categories: pending, waiting on signatures, additional back up documentation or completed application.
- Maintain daily metrics around all programs for the number of patient encounters, all application status including received, pending, and approved.
- Coordinates within house interpreters to help with language barrier regarding patients who do not speak English or who send in applications that are not in English.
- Reviews sliding fee data entry into NextGen to ensure the discounted amount for each patient on the application is correct and matches the application calculation.
- Manages SVMS co-worker inquires to ensure a seamless patient experience and resolve patient concerns immediately.
- Manages patient grievances and concerns of the sliding fee program before escalating them to the Controller.
- Supervisory duties include monthly performance log and discussions, managing leave schedules to ensure patient encounter coverage and assisting with the yearly performance evaluations and discussions.
Accounts receivable/other general accounting duties and responsibilities:
- Ensures all patient and non-patient monies received are reconciled to the both the SVMS and Pharmacy bank accounts. Includes PayPal transfers of Starting Points funds to the bank and all associated Journal Entries needed for bank reconciliations.
- Researches any discrepancies with postings from NextGen and notifies PSUSA.
- Processes and reconciles patient refunds and communicates these to PSUSA and Accounts Payable
- Reconciles Accounts Receivable to the bank on a monthly basis.
- Responsible for quarterly reconciliations of Petty Cash and the yearly audit for the entire organization.
- Collects, maintains and reports of the daily data to track and trend KPI’s through daily metrics for management.
Qualifications & Education:
- High School diploma or GED required.
- Prefer minimum of three years of general operations experience.
- Ability to manage multiple tasks simultaneously.
