What are the responsibilities and job description for the Principal Court Clerk II (Chancery Court Clerk) position at Shelby County Government?
Position Summary
Works under the direction of a supervisor within an assigned area of Chancery Court to assist Chancellors, other departments of the court, attorneys and civilians involved in litigation within Chancery Court as well as serving to the public.
Pay Grade: 46
Salary Commensurate with Experience and Education
Minimum Qualifications
1. Six (6) years of appropriate clerical, bookkeeping, data processing or statistical work; AND
2. High school diploma or possess a GED.
3. Courtroom experience preferred.
4. PROOF OF EDUCATION, TRAINING AND/OR EXPERIENCE IS REQUIRED.
Duties and Responsibilities
1.Examines legal documents submitted to the court for adherence to court or legal procedures.
2. Maintains the system of records and files in Chancery Court, including (but not limited to) storage, organization, rotating, transferring, copying, and certifying of court documents.
3. Explains courtroom procedures or forms to requesting parties.
4. Provides information to various state and county officials.
5. Receives, maintains, and processes court documents in one or more areas within Chancery Court as assigned by Clerk and Master and/or CAO.
6. As assigned, by Clerk and Master or CAO, trains with and assists manager/supervisor in the following duties:
- Prepares docket or calendar of cases to be called, entering decisions and continuances into the case management system.
- Administers oaths to witnesses, attorneys, and litigants.
- Secures information for a Chancellor, contacts attorneys and litigants for court, and instructs parties when to appear in court.
- Serves as lead clerk in a courtroom setting.
- Explains courtroom procedure to requesting parties.
- Maintains and records case dispositions and court orders and arranges for payment of fees.
- Schedules, analyzes, processes, and maintains adoption and appellate reports and records with wide latitude to exercise initiative and independent judgment.
- Verifies all information compiled, analyzed, recorded, and maintained within adoption and appellate reports and records.
- Examines, compiles, and finalizes information on all appeals from Chancery Court.
- Works with attorneys in preparing and finalizing appellate records.
- Copies files for customers, accepts payments, and write receipts.
- Transfers all requested cases to the appropriate requesting entity.
7. Performs special projects or activities as assigned by manager/supervisor.
8. Performs other related duties as assigned or directed.
KSAs
1. Knowledge of Chancery local rules, Tennessee Rules of Civil Procedure, regulations and courtroom procedures as well as electronic case management system(s).
2. Knowledge of courtroom procedures.
3. Knowledge of various legal instruments issued by Chancery Court.
4. Experience with an electronic case management and reporting system.
5. Experience with Microsoft products including Windows, Outlook, Excel and Word is required.
6. Ability to maintain an established system of records and files.
7. Ability to deal with the public and co-workers with courtesy and tact.
8. Ability to compose general correspondence.
9. Ability to work with court officials.
10. Ability to analyze and solve problems and exercise good judgment.
11. Ability to express ideas clearly, concisely and effectively, both verbally and in writing.
12. Ability to perform accurate arithmetical computations.
13. Must possess good organizational and communication skills.
14. Ability to write legibly on legal documents and court files.
15. May require specialized knowledge, skills or abilities in specified work functions or areas within Chancery Court.
