Position Summary

Works independently and under general supervision to develop and coordinate community seminars concerning procedural changes and laws pertaining to the Register’s Office.

Pay Grade: 48

Salary Commensurate with Experience and Education


Minimum Qualifications

  • Two (2) years’ experience with legal documents pertaining to real estate transactions, mortgages, or related field; AND
  • Bachelor's degree from an accredited college or university in public administration, management, business administration, or a closely related field; OR
  • An equivalent combination of related education and/or experience.
  • PROOF OF EDUCATION; TRAINING; AND/OR EXPERIENCE IS REQUIRED.

Duties and Responsibilities

  • Operates a variety of digital imaging equipment, including flatbed scanners (large- format, standard, and negative scanners), microfilm scanners.
  • Uses various types of software for imaging processing.
  • Works with vendors to establish installation of computer equipment, computer programs and in house training.
  • Monitors quality of electronic images produced; makes adjustments as required to ensure consistent quality.
  • Responsible for accurately indexing imaged documents into correct file and document types.
  • Performs digital image capture from a range of archival and library materials to very exacting standards, consistently and productively.
  • Assists patrons and staff with the fulfillment and delivery of imaging and print requests.
  • Provides input on digitization workflows and drafts reports on production and use of digital images.
  • Resolves customer requests and complaints as necessary.
  • Establishes customer service procedures and maintains records of customer complaints.
  • Handles rare or fragile originals skillfully to prevent damage during the imaging process.
  • Performs other related duties as required or directed.

KSAs

  • Solid communication and interpersonal skills to communicate effectively with staff and patrons, both verbally and in writing.
  • Ability to make verbal and written reports and presentations to convey information clearly and persuasively.
  • Knowledge of basic archival practices and experience in digital imaging preferred.
  • Familiarity with digital preservation methodologies and concepts related to image files
  • Ability to interpret legal documents to determine pertinent information for indexing.
  • Ability to use all indexes to find documents as needed for information and copying.
  • Knowledge of various legal instruments issued by the Court.
  • Ability to be self-motivated, work independently or as part of a team, set and meet deadlines, and demonstrate problem solving skills.
  • Ability to function effectively in an environment of competing priorities, balancing important tasks, urgent tasks, and ongoing maintenance
  • Ability to monitor workflow on multiple projects simultaneously from commencement to completion.
  • Ability to use a computer.

Physical Requirements

  • The ability to lift equipment, boxes, records, etc., weighing up to 50 pounds.
  • Must have good vision and dexterity.

All employees hired after September 1, 1986, must be residents of Shelby County and shall continue to reside in the County as a condition of their employment. The residency requirement shall not apply to certain public safety/civil service employees. This means exemption from this policy is in effect for the following departments and positions: (1) Sheriff Deputy Patrol Officers, Deputy Jailers and Dispatchers, employed by the Sheriff Department, (2) Correction Officers employed by the Division of Corrections, (3) Firefighters, Paramedics and Dispatchers employed by the Shelby County Fire Department. The residency exemption for public safety/civil service employees does not include Appointed positions with Sheriff’s Office, Division of Corrections or the Fire Department.
