What are the responsibilities and job description for the Office Services Coordinator position at Sheehan Phinney Bass & Green PA?
The Office Services Coordinator is an integral part of the Facilities and Office Services Team. Responsibilities include a high level of internal customer interaction and support while providing copy and mail center operations including document manipulation and production, stocking supplies, shipping and mail distribution, conference room setup and other tasks as assigned.
Knowledge, Skills and Abilities
- Copy center and mail room operations including scanning/faxing, document manipulation/production, distribution, and delivery (including calculating charges for jobs performed and maintenance of logs). Mail and shipping tasks including maintaining meter and service logs, mail delivery and shipping/receiving.
- Computer savvy with excellent document formatting (Adobe, etc.), word processing and typing skills
- Monitors and maintains supplies (office, print production, and kitchen) and ensures proper usage of office equipment including making service calls and maintaining logs
- Responds to facilities requests
- Must work well independently and as part of a team
- Detail oriented with excellent organizational skills and problem-solving capabilities
- Ability to work well under pressure, meet deadlines and remain calm when dealing with difficult situations and changing work environments
- Excellent customer service and communication skills and operates with a high degree of professionalism
- Assists with the upkeep of convenience copier areas by keeping them neat and well stocked
- Occasionally assists with office setup and conference center setup and takedown (including furniture moves as needed to support employee office location changes and supporting the conference center for hosted events involving table configuration)
- Ability to be in continual motion for long periods of time by standing, sitting, walking, bending, kneeling, squatting, reaching, twisting, pushing and pulling as well as using repetitive motion of wrists, elbows and shoulders
- Supports Firm’s overall mission and follows all standards, policies, procedures, and confidentiality guidelines
High school diploma or equivalent with a minimum of three years of directly applicable experience in a professional setting required. Detail oriented with strong interpersonal communication and problem-solving skills. Computer savvy with strong typing skills. MS Office Suite proficiency along with document creation software knowledge such as Adobe Professional. Ability to lift up to 50 lbs. EOE
