The Role This position supports Administration and Accounting for our Self-Perform Operations working closely with Project Management, Field Operations, and the Equipment/Logistics team. You'll be the connective tissue between the field and the office: managing project accounting records, coordinating subcontractor pay requests, supporting equipment tracking, and keeping self-perform projects running smoothly behind the scenes.
What You'll Do
General Administration
- Maintain job status reports and meeting minutes for the Self-Perform team
- Coordinate training, meetings, and department events
- Set up and organize project files (digital and hardcopy)
- Support subcontractor/vendor insurance compliance tracking
- Assist with resume collection and vetting for labor hires
Preconstruction Support
- Help manage bid/estimate deadlines and milestone calendars
- Assist in building precon proposals for Self-Perform
Project Management & Field Support
- Prepare and code field purchase orders
- Facilitate subcontractor pay requests
- Manage subcontracts and purchase agreements
- Support owner/subcontractor change order processes
- Assist with monthly job cost reports and project closeout documentation
Equipment & Logistics
- Support equipment management software setup (Toolwatch) and ongoing tracking
- Maintain tool/equipment/material logs across job sites
- Manage invoicing for equipment rented to projects
Accounting Coordination
- Set up project budgets and cost codes in accounting software
- Process certified payroll reports and project invoices
- Prepare monthly owner pay requests and backup documentation
- Support sales/use tax compliance and audits
What You Bring
Required
- High school diploma
- Solid grasp of fundamental accounting principles
- 5 years of equivalent combined education and experience in an administrative or accounting role
Preferred
- Associate's degree or higher in accounting or business management
- 3 years of administrative/accounting experience
- Construction, homebuilding, or related industry experience
- Notary Public certification
Skills
- Strong communicator, written and verbal, with great customer service instincts
- Self-starter who adapts well to shifting priorities
- Comfortable with Microsoft Office; familiarity with Vista Viewpoint, Procore, Autodesk, or AIA construction software a plus
- Basic understanding of construction cost control and the GC industry
Compensation & Benefits
- $65,000$75,000/year (based on experience) performance bonus

Salary : $65,000 - $75,000
