The Senior Administrative Business Partner (Sr. ABP) provides diverse expertise and highly skilled administrative support to Senior/Executive Management and staff in Early Clinical Development. This role anticipates, determines, and fulfills business partners’ needs in a proactive, well-organized, and customer-oriented manner. Interactions can involve matters of utmost sensitivity, partnering with supervisors and other staff to identify efficiencies across work groups.
The Opportunity- Proactively manage and maintain business partners’ complex calendars and meetings
- Coordinate and manage complex travel needs and logistics
- Plan large mid-level internal meetings (e.g., department meetings, large team/committee)
- Possess advanced knowledge of Genentech IT systems (e.g., cSuite, virtual collaboration tools)
- Manage relationships with internal and external stakeholders, often requiring high confidentiality
- Create contracts/purchase orders and process payments and expense reports
- Help coordinate candidate/interview processes
- Manage and plan team-building events and workshops (depending on role and level)
- Independently lead the planning and execution of complex team offsites (multiple locations, days, activities, travel needs)
- Draft email communications on behalf of manager, team, department, or leader
- Manage departmental gSites, Slack channels, websites, newsletters (collect content, distribute information, oversee maintenance)
- Provide Project Management support for Quality Compliance & Clinical Capabilities (QC3) projects and initiatives
- Perform additional responsibilities assigned based on business needs
- Ability to multitask, prioritize, and execute tasks independently; may assist in coordinating workflow among team members
- Collaborative; initiates and facilitates team development, shares relevant information, works with different functions to achieve optimal outcomes
- Ability to handle and exercise judgment and discretion concerning sensitive, confidential, and proprietary information
- Demonstrates accuracy and attention to detail in own and others’ work; communicates standards for accuracy within the team
- Based on experience, skill, and strategic context, makes decisions independently with minimal external input or validation
- Experience working with senior leaders and management
- In-depth knowledge of Microsoft Office (PowerPoint, Excel, Word), cSuite Tools (gMail, gCal, gSheets, gSlides, Trello, Jamboard, gMeet, Zoom); able to provide instruction or training as needed
- 5–7 years of related administrative, operations, or project management experience (experience in pharmaceutical/biotechnology industry preferred)
- BS/BA degree or equivalent industry experience
