About the Role
Sharma Dental Center is a fast-growing dental practice in Dublin, CA specializing in full-arch implant restoration (All-on-X). We run active marketing campaigns across multiple channels and generate a high volume of patient leads every week.
We are looking for a warm, driven, and organized Patient Care Coordinator who will own the patient communication pipeline — from first contact to confirmed appointment. This is not a receptionist role. You will be proactively calling, following up, and guiding prospective patients through the process of booking a life-changing dental procedure.

All-on-X implants change lives. Many of our leads are Spanish-speaking patients who have been living with missing or failing teeth for years. A warm, persistent, bilingual coordinator is often the difference between a patient finally saying yes — and another lead going unanswered.
What You'll Do
Daily call queue
- Work a prioritized call list every morning — reminders for today's appointments, confirmations for tomorrow, follow-ups for unreached leads
- Log every call outcome immediately in our shared tracking system
- Mark lead status accurately so the pipeline stays clean and current
Patient outreach
- Call new leads within the day they come in, with warmth and professionalism
- Follow a structured but conversational script — not robotic, not pushy
- Handle objections around cost, distance, and timing with empathy and confidence
- Coordinate with the AI call system and automated texts that run alongside your work
Appointment coordination
- Confirm all appointments the day before via call
- Send reminders and check-ins as part of the structured follow-up system
- Reschedule no-shows and document reasons
Post-consultation follow-up
- Call patients who attended a consultation but haven't booked treatment
- Share financing options and answer questions about the procedure timeline
- Maintain a respectful, patient-centered approach — never high pressure
Reporting
- Update lead statuses daily so the system stays accurate
- Flag patterns to the marketing lead — which leads are converting, which aren't
Requirements
Must Have
- Bilingual — English & Spanish (fluent in both)
- 1 year in patient coordination, scheduling, or phone-based customer service
- Comfortable making 30–60 outbound calls per day
- Organized, detail-oriented, status-updater by nature
- Professional phone manner — warm, clear, and confident
- Reliable and self-motivated — can work from a queue without being told what to do
Nice To Have
- Experience in a dental or medical office
- Familiarity with dental terminology or implant procedures
- Experience with CRM tools or Google Sheets
- Background working with Spanish-speaking communities in healthcare
- Knowledge of dental financing options (CareCredit, etc.)
Compensation
This role offers a starting hourly rate of $25-$35, based on your experience and background.
