Duties
- Greet visitors and clients warmly, providing excellent customer service and ensuring they feel welcomed and valued
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Schedule appointments, manage calendars, and coordinate meetings with precision using tools like Microsoft Office and Google Workspace
- Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy in all communications
- Perform clerical tasks such as photocopying, scanning, faxing, mailing, and managing incoming/outgoing correspondence
- Support office management activities including basic bookkeeping and payroll using QuickBooks or similar software
- Receive payments within our POS system
Experience
- Proven office experience with a strong background in administrative support or clerical roles
- Familiarity with front desk operations, multi-line phone systems, and customer service best practices
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills
- Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Experience with office management software such as QuickBooks or bookkeeping tools is preferred
- Strong time management skills combined with attention to detail for proofreading and accurate record keeping
