Summary of Duties:
The receptionist is responsible for creating a welcoming and efficient front desk environment that optimizes patient satisfaction, protects confidentiality, and supports the smooth flow of clinic operations. This role is essential to maintaining patient access and upholding Shane Retina’s commitment to exceptional care.
Medical Receptionist Job Tasks
- Greet and check in patients and visitors with professionalism and a warm, positive attitude
- Answer phones and schedule appointments using SR scheduling techniques to maximize provider time
- Communicate with patients using brief, patient-centered statements that reflect our culture of care
- Verify insurance eligibility, collect co-pays and outstanding balances, and ensure accurate check-in/out processes
- Follow up with no-show patients and confirm upcoming appointments to support continuity of care
- Maintain front desk readiness at the start of each clinic day and ensure a clean, organized reception area
- Assist patients with forms and questions, helping them feel supported and informed
- Route messages to providers, staff, and referral sources in a timely and accurate manner
- Respond promptly to communications from patients, insurers, and referral sources
- Support other administrative and clinical team members as needed to enhance patient flow
Qualifications and Skills
Education:
Associate degree preferred
Knowledge and Skill Requirements:
- Excellent interpersonal and communication skills
- Ability to maintain patient confidentiality in accordance with HIPAA
- Strong proficiency in Microsoft Excel, Word, email, and data entry
- Knowledge of basic medical office procedures and insurance verification
- Professional, patient-focused demeanor and problem-solving mindset
- Must be able to lift 25 pounds from floor to waist on a periodic basis and perform basic physical tasks such as pushing, pulling, bending, and reaching
- Ability to calmly and professionally handle difficult patient interactions
Experience:
- Minimum of 1 year in a medical office or customer service setting preferred
- Track record of punctuality, dependability, and excellent customer service
