Overview
We are seeking a dynamic, highly organized Administrative Coordinator to join our growing team. This vital role is designed for a proactive individual who thrives in a fast-paced environment and enjoys keeping operations running smoothly.
As an Administrative Coordinator, you will support daily office operations, manage customer communication, coordinate scheduling, and assist with lead follow-up, light sales support, and community relationship engagement. Your professionalism, attention to detail, and follow-through will directly support both operations and revenue growth across our residential, commercial, and party/event cleaning services.
Responsibilities
- Manage inbound communications with professional phone etiquette
- Answer, screen, and route calls, texts, and inquiries accurately
- Communicate clearly with customers regarding residential, commercial, and party/event cleaning services
- Follow up on inquiries, quotes, and next steps to help convert opportunities into booked work
- Assist with scheduling, confirming, and coordinating cleaning appointments
- Coordinate assignments and timing with cleaning teams
- Maintain organized digital records, notes, and follow-ups in internal systems
- Support light sales activity through consistent follow-up and appointment setting
- Assist with community relationship engagement, including:
- communicating with local businesses or organizations
- supporting outreach efforts
- helping schedule consultations or walkthroughs
- Support calendar management and internal scheduling
- Perform general administrative and clerical tasks as needed
- Handle sensitive and confidential information with professionalism and discretion

- Leads and inquiries are handled promptly and professionally
- Outbound B2b Calls /Appointment setting
- Follow-ups are completed consistently and opportunities do not fall through
- Appointments and bookings are scheduled accurately
- Cleaners receive clear schedules and instructions
- Community relationships and inquiries are handled with professionalism
- Administrative systems remain accurate and up to date
Qualifications
- Associate’s degree required (or higher)
- Proven experience in administrative, office coordination, or clerical roles
- Clear, fluent English (spoken and written) with strong phone communication skills
- Strong organizational skills with excellent attention to detail
- Ability to prioritize tasks and manage multiple responsibilities efficiently
- Proficiency with Microsoft Office and Google Workspace
- Comfortable learning and using scheduling or CRM systems
- Reliable, punctual, and professional demeanor
Preferred Qualifications
- Customer service, scheduling, or light sales support experience
- Experience supporting service-based businesses (cleaning, hospitality, events, etc.)
- Comfort engaging with local businesses or community contacts
- Bilingual abilities are a plus (must speak English clearly and confidently)
- Experience in fast-paced office environments

Additional Information
