Shaheen & Gordon, P.A., Attorneys at Law, a multi-site firm, is seeking an energetic and detail-oriented HR / Operations Administrative Assistant to provide executive level administrative and organizational support to the COO and HR Manager in the day-to-day operations of the firm, working for the Chief Operating Officer in the Dover, NH office. To be successful in this role the candidate must demonstrate success working in a fast-paced, multi-site environment, and the ability to work as a member of a team, in addition to working independently. Must have reliable means of transportation and a willingness to travel between firm office locations when needed.

Responsibilities

  • You will be working with firm leadership, outside vendors and firm colleagues in the support of day-to-day operations of the firm, functioning as a member of the operations team.
  • Assist the Chief Operating Officer and HR Manager with calendaring, scheduling and coordinating meetings and events, coordinating travel and preparing materials and presentations.
  • Assist the HR Manager to support onboarding / offboarding, training, performance management, and recruitment coordination.
  • Maintain HR files, records and databases, ensuring accuracy and confidentiality.
  • Serve as a liaison between internal and external stakeholders, ensuring timely communication and follow-up on key projects.
  • Organize and prepare materials for meetings, track action items, and assist in implementing firmwide initiatives.
  • Manage expenses reports, reimbursements and invoice processing.
  • Maintain firm systems and procedures.

Required Skills/Abilities

  • Must have excellent interpersonal and organizational skills.
  • Must have excellent written and verbal communication skills.
  • Must have advanced computer skills using Microsoft Office Suite and firm management software.
  • Must be able to meet deadlines and have strong attention to detail, with the ability to multi-task in a fast-paced environment.
  • Must be proactive, resourceful, and capable of handling sensitive and confidential information.
  • Must have a professional, friendly, and client / customer focused attitude and demeanor.
  • Must be focused on leading by example and promoting firm culture.
  • Ability to travel to firm offices, as needed.

Education/Experience

  • A degree in Business, HR, legal studies, or other related discipline is preferred.
  • Previous experience in a legal or relevant operations or administrative role preferred.
