About the position:
We are seeking a reliable, organized, and welcoming Afterschool Front Desk Coordinator to join our Auxiliary Programs team. This role serves as the central point of communication for our Afterschool program, helping ensure a safe, efficient, and positive experience for students, families, and staff each afternoon.
The Afterschool Front Desk Coordinator is the first point of contact for families during Afterschool hours, managing communications, coordinating student dismissal, and supporting daily program operations. Working closely with the Auxiliary Programs team, this position plays an important role in maintaining accurate attendance, facilitating smooth transitions, and creating a warm, professional welcome for all members of the school community.
This is an in-person, part-time, school-year position (August–June) with a standard schedule of 18.5 hours per week. The regular schedule is:
- Monday: 2:15–5:45 pm
- Tuesday: 2:15–5:45 pm
- Wednesday: 1:45–5:45 pm (early dismissal day)
- Thursday: 1:45–5:45 pm (Auxiliary Staff Meeting Day)
- Friday: 2:15–5:45 pm
- Serve as the primary point of contact for families during Afterschool hours.
- Answer the Auxiliary Programs phone and respond to family questions in a timely, courteous, and professional manner.
- Welcome parents, guardians, and visitors during Afterschool dismissal.
- Communicate student dismissal requests to staff using walkie-talkies and other communication systems.
- Safely check out independent walkers and ensure all dismissals follow school safety procedures.
- Maintain accurate attendance and dismissal records using SchoolPass and other program systems.
- Prepare the Front Desk and dismissal systems prior to student arrival.
- Assist with daily Afterschool attendance, sign-in/sign-out procedures, and program logistics.
- Support staff with communication regarding student locations, schedule changes, and family requests.
- Help maintain organized records and documentation related to daily program operations.
- Assist with additional administrative tasks as assigned to support Auxiliary Programs.
- Create a welcoming, calm, and professional atmosphere for students, families, and colleagues.
- Collaborate with Auxiliary Programs staff to ensure a safe, organized, and positive dismissal process.
- Attend and actively participate in the weekly Auxiliary Programs team meeting to support communication, planning, and collaboration.

- High school diploma or equivalent.
- Must be at least 18 years of age.
- Strong communication, customer service, and interpersonal skills.
- Excellent organizational skills and attention to detail.
- Ability to multitask and remain calm in a busy environment.
- Comfortable using phones, walkie-talkies, Google Workspace, and web-based attendance systems.
- Dependable, punctual, and committed to student safety.
- Previous experience in a school, childcare, camp, or customer service setting.
- Familiarity with SchoolPass or similar student attendance software.
- Experience communicating with families in a professional setting.
