Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
- Perform data entry, filing, and maintain organized records using digital tools such as Google Workspace and Microsoft Office
- Schedule appointments, coordinate calendar management for executives or teams, and organize meetings with precision
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping
- Provide customer support by addressing inquiries promptly and professionally via phone or email
- Support office management activities including supply inventory, document proofreading, and general clerical duties such as copying and scanning documents
Experience
- Proven office experience with a strong background in administrative or clerical roles
- Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Experience handling multi-line phone systems and practicing excellent phone etiquette
- Bilingual skills are highly preferred to effectively communicate with diverse clients and team members
- Prior experience as a receptionist—dental or medical—will be considered an asset for understanding specialized front desk procedures
- Personal assistant or medical receptionist experience is advantageous for managing schedules and supporting executive needs
- Strong organizational skills with the ability to prioritize tasks efficiently while maintaining attention to detail
