Role Summary


SM is seeking a Tenant Coordinator to join our Property Management team, reporting directly to the Property Manager and supporting multiple client portfolios. This role will be responsible for providing support on the day-to-day management of Northeast portfolios, ensuring operational excellence and a high level of service across all assigned properties and clients.

This position will play a key role, in both tenant and vendor interface, while working in a high-performing team environment. Key Responsibilities


Accounting and Financial

  • Support day-to-day property accounting processes, including assisting with accounts receivable and accounts payable workflows
  • Monitor tenant balances and follow up on outstanding items in accordance with company policies and direction from the Property Manager
  • Assist with coding and routing invoices in the financial system and tracking payment status with vendors as needed
  • Coordinate with accounting to ensure tenant charges, billbacks, and utility billings are entered accurately and on time
  • Maintain organized financial records and supporting documentation for the property
  • Assist with monthly billing review and reporting preparation, as directed

Tenant Relations

  • Serve as a point of contact for tenant inquiries, ensuring timely, professional, and customer-focused responses
  • Coordinate and track tenant service requests and work orders, following up with vendors and facilities staff to support timely completion
  • Prepare and distribute tenant communications, including building notices and updates
  • Assist with lease administration tasks, including lease abstraction and maintaining accurate lease data in property management systems
  • Coordinate tenant move-ins and move-outs, ensuring all required documentation and procedures are completed

Operations

  • Assist with vendor coordination and maintain records of service contracts, ensuring documentation is current and organized
  • Track certificates of insurance (COIs) for tenants and vendors and follow up on expirations as needed
  • Support ongoing property operations by coordinating with vendors and internal teams on scheduled services and maintenance
  • Assist with administrative coordination related to tenant improvements and capital projects, including tenant communications and access scheduling
  • Maintain organized property files, contracts, and operational documentation

Qualifications

  • Undergraduate college degree required
  • Working knowledge of the operational, administrative and financial aspects of real estate management preferred
  • Familiarity with Microsoft Office, Word, Excel and Yardi or comparable accounting applications
  • Ability to effectively communicate with clients, managers, engineers, vendors and tenants in a professional manner
  • Candidate must exhibit a high degree of professionalism, excellent written and verbal communication skills and a track record of consistent professional achievement and career growth.
