Job Title: Upper School Administrative Assistant
Supervisor: Director of Studies and Strategic Initiatives
Start Date: July 1, 2026
General Summary: The Upper School Administrative Assistant’s role is designed to help ensure the successful academic functioning of the Upper School. The Upper School Administrative Assistant’s primary focus will be supporting the Director of Studies and the college counseling office. The Upper School Administrative Assistant is part of a team of administrative assistants at the school and will work closely with the Assistant to the Upper School Head to ensure the smooth daily operation of the Upper School. This is a 12 month position.
Essential Functions:
- Maintain accurate daily attendance records for all students and communicate with the necessary school constituents
- Provide clerical and administrative support to the Director of Studies and the college counseling office
- Assist with the administration and coordination of yearly final exams, standardized tests, and AP exams
- Assist the Director of Studies with the processing of grades and teacher comments throughout the year
- Maintain, update, and, as necessary, send student and parent data, including grades and transcripts
- Coordinate college rep visits
- Assist, in conjunction with the other administrative assistants, with the preparation for and running of school events and initiatives throughout the year.
- Other duties as assigned
Qualifications:
- Bachelor’s Degree preferred
- Previous experience in an administrative or school setting preferred
- Proficiency with Blackbaud Learning Management System or similar LMS preferred
- Proficiency in the Microsoft Office suite and Google suite
- Strong communication and interpersonal skills
- Ability to use discretion and maintain confidentiality
- Strong organizational skills
- Collegial and collaborative approach to work
