Part-Time Veterinary Client Service Representative (CSR)

Our CSRs are the first and last impression of the hospital and play a vital role in creating a welcoming, organized, and supportive experience for every client and patient who walks through our doors.

Seven Oaks Veterinary Clinicis a two doctor, full-service animal hospital that has proudly served our community since 1980. Our goal is to provide the highest quality care for our patients while supporting clients through education, preventative medicine, and compassionate service.
We care for a wide variety of species, from cats and dogs to exotic pets including birds, rabbits, guinea pigs, reptiles, and more—making every day both rewarding and unique.
What You’ll Do
Client Experience & Communication
- Greet clients and patients warmly and professionally
- Answer multi-line phones using established hospital protocols
- Schedule appointments appropriately based on patient needs
- Provide clear explanations of hospital services, policies, and procedures
- Support clients during emotional or sensitive visits, including end-of-life care
- Triage client concerns and escalate medical questions appropriately
Front Desk & Appointment Coordination
- Manage appointment calendars using Avimark
- Confirm upcoming appointments and manage reminders
- Efficiently check in and check out patients
- Communicate patient arrivals and status updates to the medical team
- Keep client records accurate and up to date
Administrative & Financial Responsibilities
- Enter charges and prepare invoices accurately
- Process payments including credit cards, cash, checks, and CareCredit
- Provide estimates and surgical quotes following hospital guidelines
- Assist with daily financial reconciliation and end-of-day procedures
Patient Intake & Medical Support
- Obtain patient weights and assist with basic animal handling when needed
- Coordinate laboratory specimen drop-offs
- Maintain familiarity with preventive care protocols such as vaccines, heartworm testing, and flea/tick prevention
- Recognize potential emergencies and notify medical staff immediately
Hospital Operations
- Maintain a clean, welcoming, and organized reception and lobby area
- Restock retail and front desk supplies
- Assist with opening and closing procedures
- Handle mail, scanning, and general administrative tasks
- Follow OSHA and hospital safety protocols
What We’re Looking For

- Comfort working around animals of all sizes and temperaments
- Basic computer skills and willingness to learn veterinary software (Avimark experience is a plus)
Preferred Experience
- Previous veterinary, medical, or animal care experience
- Prior front desk or client service experience
- Familiarity with veterinary terminology

Work Environment
This position is based in a busy veterinary hospital where you will interact regularly with clients, pets, and medical staff. The role includes compassionate and informative communication, managing multiple tasks at once, and maintaining professionalism during high-volume or emotional situations.
Schedule & Hours
- Approximately 20 hours per week with opportunities for additional hours based on hospital needs.
· Includes opening and closing shifts (clinic closes at 5pm most days)
· No Weekends!
Compensation & Benefits:
Competitive hourly pay: $15–$18/hour, depending on experience
