About the Role
Setareh Law Group is seeking a reliable and detail-oriented Receptionist / Administrative Assistant to support daily office, accounting, and property-related operations. This role is ideal for a professional with strong organizational skills, a polished demeanor, and the ability to manage both digital and physical records while collaborating closely with attorneys, accounting staff, and vendors.
Responsibilities
- Sort, review, and distribute incoming mail; review mail items with Shaun as needed
- Scan incoming checks to the server, upload to AppFolio, and forward to the accounting team
- Scan, enter, and physically file incoming bills, bank statements, and related documents in designated Firm or Property folders
- Maintain organized digital and physical filing systems for Firm, Accounting, and Property correspondence, including uploads to AppFolio
- Enter and process monthly mortgage payments for all properties
- Prepare and complete bank deposits for Chase, U.S. Bank, and Bank of America
- Roll coins and prepare counter deposits for property laundry machines
- Process outgoing mail, including mailing checks for property bills and physically filing check stubs
- Complete monthly MyCase postage reports, record expenses, and email reports as required
- Communicate with vendors, utility companies, city departments, and other agencies regarding property-related matters
- Manage mailing address updates with USPS, County Assessor, utility providers, and other agencies
- Save and file incoming email and media correspondence to the server and AppFolio
- Coordinate property tours for Gramercy vacancies with on-site property managers and assist with Zillow listings
- Place Amazon orders for property maintenance and repair needs
- Support marketing efforts by purchasing client review gift cards and maintaining weekly tracking spreadsheets
Qualifications
- Prior experience in a receptionist, administrative, or office support role, preferably in a law firm or professional services environment
- Strong organizational skills with experience managing both physical and digital files
- Proficiency with Microsoft Office and document management systems
- Experience with AppFolio, MyCase, or similar platforms preferred
- Excellent attention to detail and ability to handle confidential information
- Professional written and verbal communication skills
- Reliable, punctual, and able to multitask in a fast-paced environment
Pay Range and Compensation Package
$25.00–$27.50 per hour, based on experience, plus a discretionary year-end bonus.
