We are hiring a Project Administrator - Large Loss based in Syracuse. This is not a desk job with occasional site visits. When a large commercial loss or major reconstruction project activates, you go to the site and you own the paperwork from the first hour through final billing.
What this job actually is
On a large loss, the difference between a profitable project and a painful one is almost always documentation. Who was on site, for how long, doing what. What equipment was placed and when it moved. Which subcontractor showed up with valid insurance and which one did not. Whether the change order was signed before the work happened or after.
You are the person who makes sure all of that is captured, accurate, and filed the same day. The Project Manager runs the project. You make sure it can be proven, billed, and defended.
What you will do
Deploy to large loss sites in Syracuse and, when needed, to our other markets across New York, Connecticut, and Maryland.
Own the job file from activation through closeout in DASH, our job management system.
Set up and run the site documentation station, including sign-in, forms, and records.
Maintain the daily site log: crew on site, hours worked, work performed, delays, and conditions.
Capture all labor, equipment, and material daily on time and material projects, and reconcile it against crew reports before the next shift.
Verify every subcontractor on site has current insurance, a W-9, and a signed agreement on file before they start work.
Collect signed authorizations, direction to pay forms, access agreements, and change orders.
Track permits, inspections, and third party verifications.
Assemble billing packages and complete closeout files, and support Accounts Receivable when documentation is requested.
Follow the project across both divisions, from emergency mitigation and drying through reconstruction, so the file moves cleanly instead of being rebuilt at handoff.
Between deployments, support Syracuse market job files, permit applications, subcontractor compliance, and general project administration.
What we are looking for
Two or more years in construction administration, project administration, insurance claims support, or a similar role where accuracy and paperwork discipline mattered.
Restoration or construction experience is strongly preferred. Familiarity with DASH, Xactimate, or Docusketch is an advantage but we will train the right person.
Solid Microsoft Office and Microsoft Teams skills, and the ability to pick up new job management software quickly.
The ability to work without supervision on an active site and still hit every deadline.
The backbone to tell a superintendent or a subcontractor that work does not start until the paperwork is right, and the judgment to do it without starting a fight.
Comfort working on active construction and loss sites, including dust, noise, temperature extremes, and stairs.
Willingness to mobilize on short notice and work extended hours, weekends, and consecutive days when a large loss hits.
Valid driver's license and clean driving record.
High school diploma or equivalent required. Associate degree or higher preferred.
