Position Summary:
The Job File Coordinator plays a key administrative role on our team. This position is responsible for managing the life cycle of restoration and mitigation jobs in our system, ensuring that all documentation, compliance, communication, and customer satisfaction standards are met. As a vital part of our administrative team, you will help drive daily operations forward by keeping our job files organized, accurate, and up to SERVPRO’s standards.
Key Responsibilities:
- Create, manage, and update job files in SERVPRO’s proprietary systems.
- Communicate with customers, insurance adjusters, and internal teams regarding job status and documentation.
- Ensure all job file documentation is complete, accurate, and audit-ready (including contracts, photos, estimates, notes, and signed forms).
- Monitor compliance with internal processes and industry requirements.
- Track job progress and follow up with technicians and project managers to meet key milestones.
- Assist with billing preparation, collections support, and closeout documentation.
- Coordinate scheduling and work with dispatchers or team leaders as needed.
- Support the broader administrative team with other tasks, projects, and reporting as needed.
Qualifications:
- Prior experience in administrative support, file coordination, or project management (experience in restoration, insurance, or construction industries is a plus).
- Strong organizational skills with a high attention to detail.
- Proficiency with Microsoft Office Suite; experience with DASH, Xactimate, or similar software is preferred.
- Restoration and/or construction background preferred.
- Excellent written and verbal communication skills.
- Ability to multitask in a fast-paced environment and meet tight deadlines.
- High school diploma or equivalent required.

- Full-time, on-site role based in Hauppauge, NY
