Job Duties

  • Maintain job file WIPs
  • Monitor and ensure client requirements are followed
  • Review and validate initial field documentation
  • Create preliminary estimate
  • Daily job file coordination
  • Perform job file backup
  • Prepare job file reports
  • Complete and review job file documentation for final upload and the audit process
  • Complete job file audit process
  • Perform job close-out
  • Assist other departments, as needed
  • Maintain internal and external communications
  • Schedule appointments as required
  • Monitor and ensure client requirements are followed
  • Review and validate initial field documentation
  • Manage communication of information in and out of the office; type out correspondence letters, emails, memos, etc. (paper and electronic); prepare outgoing mail and packages for executives
  • Job File Documentation: Ensure all documents are completed in a timely fashion
  • Data Entry as needed
  • Ensure office is kept clean and organized at all times
  • Monitor office supplies; order and re-stock as needed

Position Requirements & Qualifications

  • Possess polite, confident, and excellent customer service skills, including listening and questioning skills
  • Outstanding communicator, both orally and written
  • 2 year(s) of administrative or office-related experience
  • Minimum of an Associates Degree required
  • Team Player
  • Self-starter who works well independently
  • Ability to multi-task
  • Capability to work in a fast-paced, team-oriented office environment
  • Experience in service industry environment a plus
  • Ability to prioritize given tasks and work efficiently towards completing them
  • Familiar with common office equipment (printers, copier, fax, etc.)
  • Ability To Adapt To Other Computer Software Programs
  • Flexibility in Changing Priorities throughout the day.
  • Detail-oriented and exceptional organizational skills
  • Experience with complex file management
  • Professional demeanor
  • Able to successfully complete a background check subject to applicable law
  • Pre-employment Chemical Screening required

Compensation & Benefits

  • Monday through Friday 7:30 a.m. – 5 p.m., additional time as needed.
