Job Duties
- Maintain job file WIPs
- Monitor and ensure client requirements are followed
- Review and validate initial field documentation
- Create preliminary estimate
- Daily job file coordination
- Perform job file backup
- Prepare job file reports
- Complete and review job file documentation for final upload and the audit process
- Complete job file audit process
- Perform job close-out
- Assist other departments, as needed
- Maintain internal and external communications
- Schedule appointments as required
- Monitor and ensure client requirements are followed
- Review and validate initial field documentation
- Manage communication of information in and out of the office; type out correspondence letters, emails, memos, etc. (paper and electronic); prepare outgoing mail and packages for executives
- Job File Documentation: Ensure all documents are completed in a timely fashion
- Data Entry as needed
- Ensure office is kept clean and organized at all times
- Monitor office supplies; order and re-stock as needed
Position Requirements & Qualifications
- Possess polite, confident, and excellent customer service skills, including listening and questioning skills
- Outstanding communicator, both orally and written
- 2 year(s) of administrative or office-related experience
- Minimum of an Associates Degree required
- Team Player
- Self-starter who works well independently
- Ability to multi-task
- Capability to work in a fast-paced, team-oriented office environment
- Experience in service industry environment a plus
- Ability to prioritize given tasks and work efficiently towards completing them
- Familiar with common office equipment (printers, copier, fax, etc.)
- Ability To Adapt To Other Computer Software Programs
- Flexibility in Changing Priorities throughout the day.
- Detail-oriented and exceptional organizational skills
- Experience with complex file management
- Professional demeanor
- Able to successfully complete a background check subject to applicable law
- Pre-employment Chemical Screening required
Compensation & Benefits
- Monday through Friday 7:30 a.m. – 5 p.m., additional time as needed.
