The Administrator Assistant is a central figure at SERVPRO Blackfoot/Pocatello, instrumental in optimizing office efficiency, ensuring seamless communication, and providing comprehensive support across various critical functions, from financial management to compliance and team coordination.
This role requires a proactive approach and exceptional attention to detail, spanning administrative, customer relationship, and operational support tasks.
Operational and Administrative Admin Management
- Workflow Coordination: Strategically coordinate and balance daily schedules to maximize work efficiency and effectively manage job flow. This includes supporting the Work-in-Progress (WIP) Board to ensure all team members are updated on job statuses and schedules.
- Documentation Oversight: Prepare all essential job paperwork for Crew and Estimators, focusing on timely estimate conversions. Maintain an organized and current file system, company calendar, and schedule.
- Communication & Correspondence: Manage all incoming and outgoing communications, including mail, email, and faxes. Review and strategically route all internal Bulletins.
- Supply & Logistics: Ensure the proper inventory and delivery of both office and general supplies.
Financial and Compliance Support
- Financial Administration: Provide critical support to the Office Controller in managing accounts receivable, including accurately billing customers for services and processing payments.
- Job File Integrity: Help assist in the thorough oversight of all job file documentation, including communication records and subcontractor activities.
- Regulatory Adherence: Help the team maintain strict compliance with the Key Accounts and other Third-Party Programs.
- Franchise Compliance: Support the management of specific franchise-related compliance documents and track fixed assets.
Client Relations and Business Development
- Exceptional Client Service: Provide exceptional customer service as the primary point of contact. This includes answering phones and maintaining a detailed call log.
- Relationship Building & Sales Support: Conduct follow-up calls to enhance customer relationships and proactively identify potential additional sales opportunities.
- Event Support: Provide essential support to the Business Development team for all upcoming events.
Reports to: Office Controller Classification: Non-Exempt Compensation: $16-$19, depending on experience Hours: Full-time, 40 hours per week, typically between 8:00 a.m. and 5:00 p.m., Monday-Friday.
