We need someone who can take charge of a fast-moving job pipeline, hold every detail accountable, and build the kind of client and carrier experience that wins referrals — coordinating scheduling, billing, TPA programs, and job tracking across every active project. WHAT YOU'LL OWN
- Master scheduling for staff, clients, and service appointments — keeping everything synchronized in real time
- Oversee daily dispatch — ensuring technicians and crews are assigned, deployed, and on schedule every day
- Own billing accuracy: initiate, verify, and track every job through Restore and Luxor with zero gaps
- Audit job data to confirm accuracy, correct salesperson assignments, and flag non-converted jobs for timekeeping review
- Ensure all jobs are entered into Restore on initial contact — including estimates — so jobs not sold are tracked and reported
- Manage TPA intake end-to-end: receive referrals, verify documentation, meet compliance requirements, and track program KPIs
- Maintain prompt updates on jobs not sold and notify the appropriate team member to review work tickets
- Serve as the connector between clients, project managers, and leadership — high communication, high accountability
- Support workflow improvements in direct collaboration with the General Manager
YOU BRING • Experience in restoration, insurance claims, or a TPA-affiliated service environment • Familiarity with Xactimate, XactAnalysis, Symbility, or similar restoration/TPA software • Understanding of commercial service billing, documentation workflows, and the insurance landscape • Knowledge of IICRC standards or insurance claim documentation • Strong organizational skills in a high-volume, appointment-driven environment • The instinct to flag problems early and solve them without being asked
