What are the responsibilities and job description for the Division Manager position at Service Management Systems?
Responsibilities include the following, but other duties may be assigned
- Visits accounts in division a minimum of three times per year to meet and talk with the customer, talk with the SMS facility manager and staff.
- Communicates results of visit to customer, Division Vice President, and President of SMS by way of Site inspection report.
- Any other event requiring additional supervision.
- Run Labor report for all accounts on biweekly payroll and prepare document for review of Division Vice President.
- Responds to requests from the customer in a timely and positive manner.
- Communicates with the SMS Facility Manager on a weekly or more frequent basis, as needed.
- Communicates with the Divisional Vice President on a weekly or more frequent basis, as needed.
- Participates in the startup activities of new accounts.
- Attends bid walks at the request of Divisional Vice President.
- Provide support to accounts during Facility Manager Transition.
- Compares supply and uniform orders to budget and approves or revises as placed by Facility Manager.
- Prepares equipment orders for review and upon approval places all orders for division.
- Receives and reviews financial documents regarding the region and each account.
- Coordinates with Facility Managers, senior leadership and corporate finance personnel to clarify, interpret or correct financial matters.
- Researches and provides appropriate explanations regarding problems identified in financial documents. Directs or coordinates corrective action, where appropriate.
- Participates in monthly financial review.
- Approves or denies requests from SMS Facility Managers regarding the use of overtime, equipment repair, supply purchases and other financial and personnel matters.
- Support Facility Manager and Human Resources in disciplinary matters.
- Attends required meetings or conference calls called by the President or the Divisional Vice President.
- Monitors his or her own business expenses and submits expense reports to CSC weekly.
- Inputs customer interactions on the Customer Contact Log.
- Ensures that any employee injuries or incidents are processed in the prescribed manner; ensures that Risk Management is notified within the prescribed time frames.
- Interviews and hires qualified applicants to fill open post positions in a proactive and timely manner, following company interviewing guidelines. Also regularly evaluates lowperforming employees for replacement, upgrade or transfer;
- Makes initial/conditional job offers (for new employees) and job transfers (for existing employees) using company forms and procedures, offering rates, schedules and benefits in alignment with post contract requirements.

- Education/Experience: High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.
- Language Ability: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
- Math Ability: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Computer Skills: Intermediate computer skills required. Knowledge of Microsoft Office software; Excel, Word, Outlook.
