Overview
The Transaction Manager is the organizational backbone of the top performing Team’s physical office and daily internal operations. This role ensures the environment, systems, and administrative rhythms of the business run smoothly, consistently, and with intention.
Reporting directly to the Director of Operations, the Transaction Manager is responsible for maintaining order, supporting execution, and protecting team focus by handling logistics, coordination, and office-level administration. This person thrives on structure, anticipates needs before they arise, and takes pride in creating calm through precision.

Key Responsibilities
Office Operations & Environment
- Own the day-to-day functioning of the physical office to ensure it is organized, stocked, and client-ready at all times
- Manage office supplies, equipment, vendor relationships, and maintenance requests
- Coordinate office access, keys, technology setup, and workspace organization
- Ensure the office reflects The KN Team’s brand standards: polished, calm, and professional
Administrative & Team Support
- Support the Director of Operations with administrative execution and task follow-through
- Assist with internal scheduling, calendar coordination, and meeting logistics
- Prepare materials for meetings, trainings, and internal check-ins
- Maintain internal documents, shared folders, and operational resources as directed
Systems & Task Management
- Execute assigned tasks within Microsoft Planner (or similar project management tools)
- Track administrative workflows and flag bottlenecks or gaps to the Director of Operations
- Help ensure SOPs are followed consistently by supporting documentation and reminders
- Assist with onboarding logistics for new hires, interns, or assistants
Coordination & Communication
- Serve as a reliable point of contact for office-related questions and logistics
- Communicate clearly, calmly, and professionally with team members and vendors
- Escalate issues appropriately to the Director of Operations — never letting problems linger

Experience & Qualifications
- 2 years of experience in office management, operations, or administrative support
- 2 years of experience in real estate, professional services, or fast-paced environments preferred
- NYS Real Estate License required
- Proficiency with Google Workspace; familiarity with project management tools a plus
- NYC-based and comfortable working fully in-office
