About the Role
Serenity Lane is seeking a motivated and experienced Business Office Manager to lead the financial operations of our Outpatient Substance Use Disorder Treatment Clinic. In this key leadership position, you'll be responsible for optimizing revenue through effective management of billing, collections, and insurance reimbursement processes—all while ensuring compliance and supporting our mission to expand access to high-quality, compassionate care.
You’ll collaborate with clinical, admissions, and administrative teams to maintain financial health and patient access, playing a critical role in the daily and long-term success of the organization.
What You’ll Do
Billing, Insurance & Collections Management
Oversee billing, collections, and insurance verification for both inpatient and outpatient services
Ensure timely and accurate claim submissions across all payer types
Monitor accounts for compliance, accuracy, and completeness
Manage patient payment plans, refunds, write-offs, and financial reconciliations
Handle negotiations with collection agencies and represent Serenity Lane in small claims court or related proceedings
Financial Analysis & Reporting
Review and analyze revenue, aging, and statistical reports\
Collaborate with CFO and Bookkeeper on reconciliations, hardship programs, and scholarships
Identify trends and implement strategies to improve cash flow and collections performance
Policy, Compliance & Risk Management
Develop, implement, and maintain billing and collections policies
Ensure compliance with internal policies, payer contracts, and state/federal regulations\
Communicate key department updates or issues to the CFO
Team Leadership & Staff Oversight
Supervise Business Office staff including scheduling, training, and performance reviews
Assist in hiring, onboarding, and developing staff in collaboration with finance leadership
Maintain a positive, professional, and team-oriented environment
Cross-Departmental Collaboration
Work closely with Admissions, Clinical, and Utilization Review teams to ensure billing accuracy and reduce delays
Participate in internal meetings and contribute financial insights and reporting as needed
What We’re Looking For
Strong knowledge of insurance billing, reimbursement, and healthcare collections
Proficiency with Microsoft Excel, Word, and EHR systems (Sigmund preferred)
Excellent analytical and problem-solving skills with attention to detail
Strong communication skills, especially in high-pressure or conflict situations
Knowledge of healthcare collections laws, confidentiality, and compliance standards
Demonstrated leadership and team management abilities
Education & Experience
Option 1:
Bachelor's degree or equivalent
Minimum of 2 years of supervisory or management experience in a healthcare setting
Option 2:
High school diploma or equivalent
Minimum of 5 years in medical billing or collections
At least 1 year of management or supervisory experience
Preferred: Experience in behavioral health or substance use disorder treatment settings
Valid Driver's License
Ability to pass a background check and drug screen (Serenity Lane is a Cannabis THC-free workplace)
Physical Requirements
Prolonged periods sitting or standing at a computer workstation.
Occasional lifting or moving of objects up to 10 lbs.
Frequent hand and wrist motions (typing, filing, etc.).
Continuous communication with staff, patients, and external partners.
