Job Summary
The Executive Assistant (EA) to the CEO plays a critical role in supporting the Chief Executive Officer and ensuring the smooth execution of executive priorities, organizational initiatives, and select personal administrative matters. The EA will manage schedules, coordinate communications, prepare reports, oversee travel arrangements, and assist in the implementation of company-wide strategic initiatives. This individual will serve as a trusted partner to the CEO, helping to maximize efficiency, prioritize strategic objectives, manage confidential business and personal matters, and maintain strong communication across departments. The ideal candidate is highly organized, proactive, resourceful, and capable of seamlessly balancing executive and limited personal support responsibilities while exercising the highest level of professionalism and discretion.

Key Responsibilities

  • Provide high-level administrative support to the CEO, including calendar management, meeting coordination, and travel arrangements.
  • Act as the primary point of contact between the CEO and internal/external stakeholders.
  • Draft, review, and prepare correspondence, reports, presentations, and other documents.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Assist in tracking and managing strategic initiatives, acquisitions, partnerships, projects, and executive deadlines.
  • Coordinate executive leadership meetings, including preparing agendas, taking minutes, and following up on action items.
  • Support the CEO in monitoring organizational performance metrics and generating executive reports.
  • Conduct research, compile data, and prepare briefs to support executive decision-making.
  • Facilitate smooth communication between the CEO and department leaders, ensuring alignment, accountability, and execution of strategic priorities.
  • Take initiative in anticipating the CEO’s needs and proactively addressing issues.
  • Manage and monitor follow-up on key organizational initiatives, state acquisitions, licensing efforts, and strategic growth projects.
  • Provide logistical and administrative support for business travel and be available to travel occasionally as needed.
  • Handle special projects and other duties assigned.
  • Ability to work independently with minimal supervision while exercising sound judgment.
  • Provide limited personal administrative support to the CEO, including managing personal appointments, coordinating personal travel arrangements, handling select confidential matters, and assisting with tasks that enable the CEO to remain focused on strategic business priorities.
  • Coordinate and manage a blend of executive and personal priorities for the CEO, ensuring seamless scheduling, travel planning, event coordination, and follow-through on time-sensitive matters.
  • Serve as a trusted confidant and liaison for highly confidential business and personal matters requiring discretion, professionalism, and sound judgment.
  • Flexibility to adjust priorities and occasional availability outside of standard business hours.
  • Must sign and adhere to a Non-Disclosure Agreement (NDA) as a condition of employment.

Qualifications

  • Bachelor’s degree in Business Administration, Healthcare Administration, or a related field preferred.
  • 3 years of experience as an Executive Assistant, preferably supporting a CEO, Founder, President, or other C-level executives.
  • Strong organizational and project management skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • High degree of professionalism and ability to maintain confidentiality.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Experience in healthcare, home care, or multi-state operations is highly preferred.
