The Role
We are hiring an experienced paralegal to manage real estate and title files from contract through post-closing, support our traffic defense practice, prepare estate planning documents, and assist our attorneys on litigation and business matters. This is a hands-on, on-site position with direct client contact. If you have run closings and touched title work before, you will recognize this job immediately.
Real Estate and Title
- Open and manage transaction files from contract execution through post-closing, for purchases and sales, residential and commercial
- Order and review title searches, municipal searches, surveys, and payoff letters
- Examine title, identify and clear exceptions, and work with the attorney to resolve defects, liens, and judgments
- Prepare title commitments, closing protection letters, and final policies
- Draft deeds, transfer tax forms (TP-584, RP-5217), affidavits, and closing packages
- Prepare and review closing statements and coordinate figures with lenders, brokers, and opposing counsel
- Handle post-closing recording, policy issuance, and file closeout
- Communicate with clients, realtors, lenders, and attorneys throughout the transaction
Traffic Defense
- Handle client intake and open new traffic matters
- Obtain and review DMV driving abstracts and ticket records
- Correspond with town, village, and city courts and with District Attorney offices across the Capital Region
- Track appearance dates, adjournments, and deadlines
- Prepare and process plea paperwork and supporting correspondence
- Manage a high volume of matters with accuracy and consistent follow-up
Estate Planning
- Draft wills, powers of attorney, health care proxies, living wills, and trust documents from firm templates
- Coordinate and assist with execution ceremonies, including witnessing and notarization
- Maintain client estate planning files and follow up on outstanding signature items
Litigation Support
- Prepare and e-file pleadings, motions, and supporting papers through NYSCEF
- Organize and maintain case files, exhibits, and discovery materials
- Calendar court dates, deadlines, and response dates, and keep attorneys ahead of them
- Draft correspondence to courts, opposing counsel, and clients
- Assist with landlord-tenant proceedings, including petitions, notices, and court filings
Business and Corporate
- Prepare entity formation documents and filings with the New York Department of State
- Assist with operating agreements, resolutions, and corporate record maintenance
- Support commercial transactions, leases, and business purchase and sale matters
Qualifications
- Prior paralegal experience required, preferably in real estate transactions
- Title experience strongly preferred, including searching, examining, and preparing commitments
- New York Notary Public commission, or willingness to obtain one promptly after hire
- Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning a cloud-based case management and CRM system
- Strong written and verbal communication skills and confidence on the phone with clients, realtors, and lenders
- Excellent organization and attention to detail, with the ability to manage multiple files and deadlines at once
- Discretion in handling confidential client information
Pluses
- New York State licensed title insurance agent, or willingness to pursue licensure
- Experience with municipal searches, co-op transactions, or commercial closings
- NYSCEF and New York state court filing experience
- Experience supporting a high-volume practice area
