Serán is seeking a Project Billing & Accounts Receivable Specialist who will be responsible for managing the company's billing and AR process, ensuring timely and accurate invoicing, collection of customer payments, account reconciliation, and maintenance of customer records. This position plays a critical role in supporting cash flow management while providing exceptional service to customers, distributors and business partners. The ideal applicant is detail-oriented, highly organized, and experienced in managing high-volume transactions within a regulated manufacturing environment.
\n- Enter and maintain project billing milestones to ensure distribution of customer invoices in a timely and accurate manner in accordance with contract terms.
- Process and apply incoming payments including ACH, wire transfers, checks, and credit card payments.
- Monitor customer account balances and aging reports.
- Conduct collection activities for past-due accounts while maintaining positive customer relationships.
- Investigate and resolve billing discrepancies, deductions, short payments, and credit balance issues.
- Reconcile accounts receivable subledger to the general ledger.
- Prepare customer statements and respond to account inquiries.
- Collaborate with Sales, Customer Service, Supply Chain, and Finance teams to resolve invoicing and payment issues.
- Maintain accurate customer records, tax documentation, and payment terms.
- Assist with month-end and year-end closing activities.
- Prepare AR reports, aging analysis, and cash collection forecasts for management review.
- Support internal and external audits by providing requested documentation and account support.
- Ensure compliance with company policies, accounting standards, and applicable regulatory requirements.
- Participate in continuous improvement initiatives to streamline billing and receivable processes and improve collection performance.
- Proficiency with ERP and accounting systems.
- Strong Microsoft Excel skills, including formulas, pivot tables, and data analysis.
- Knowledge of general accounting principles and accounts receivable best practices.
- Excellent organizational skills with strong attention to detail.
- Effective written and verbal communication skills.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Ability to prioritize tasks and “manage up” when appropriate or for clarification.
- An interest in learning a broad range of accounting areas and assisting in training others as the department grows.
- Associate degree in Accounting, Finance, Business Administration, or related field; equivalent experience may be considered.
- 2 years of accounts receivable, billing, or accounting experience.
- A work history which demonstrates consistency and intellectual flexibility.
- Bachelor’s degree in Accounting, Finance, Business Admin., or related field.
- Experience reviewing and understanding project sales agreements.
- Previous exposure to ASC 606 revenue recognition standards
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift 15 lbs at times
- Must be able to commute daily to our worksite in Bend, Oregon
