Role Description:
This is a full-time, hybrid position based in Charleston, South Carolina. Candidates should be local to the area and available for on-site presence as project needs require.
As SensusOne continues to expand into new markets, we are seeking a detail-oriented and experienced Construction Administration Coordinator to join our team. This role serves as a critical point of coordination between project management, accounting, contractors, lenders, and ownership groups — ensuring that all financial documentation, draw processes, and project records are accurate, compliant, and current throughout each development.
Role Responsibilities:
- Coordinate and prepare construction draw packages for commercial development projects, ensuring full compliance with lender and ownership requirements
- Collect, review, and track lien waivers, vendor invoices, and payment applications across multiple concurrent projects
- Maintain comprehensive project documentation, including contracts, insurance certificates, and payment records
- Manage accounts payable, vendor setup, invoicing, and reconciliation across accounting platforms
- Maintain project budgets, cost-to-complete analyses, and funding schedules within Excel and supporting project management platforms
- Monitor project budgets and cash flow activity, identifying variances and escalating issues proactively
- Serve as a liaison between project managers, contractors, lenders, and ownership groups to facilitate timely communication and documentation flow
- Support accounting staff with month-end closing processes, report preparation, and financial recordkeeping
- Manage general administrative responsibilities, including scheduling, correspondence, and file management
Required:
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field (preferred, not required in lieu of equivalent experience)
- 3 years of administrative and accounting experience within commercial real estate or construction environments
- Demonstrated understanding of construction draw processes, lien waivers, and vendor compliance requirements
- Advanced proficiency in Microsoft Excel, and financial reporting functions
- Exceptional attention to detail with the ability to manage multiple priorities in a deadline-driven environment
- Strong written and verbal communication skills with a high degree of professionalism and discretion
Preferred Qualifications:
- Prior experience working with commercial lenders, title companies, and development project management teams
- Familiarity with AIA billing formats and construction accounting principles
- Knowledge of real estate development workflows and lien law compliance
- Exposure to healthcare facility construction or similarly regulated commercial environments
