Job Summary
Sensitile Systems is a growing manufacturer of innovative architectural materials based in Ypsilanti, Michigan. We design and fabricate decorative resin panels, terrazzo, and specialty surfaces for architects and designers worldwide.
We are looking for a versatile Administrative Assistant to support our office, purchasing, and accounting operations. This is a generalist role—the right person is organized, nimble, and ready to pitch in wherever needed across the business. Training will be provided; what matters most is a strong work ethic, good judgment, and a willingness to learn.
Responsibilities
- This role touches many parts of the business on any given day. Core areas include:
Purchasing & Shipping
- Source vendor quotes, compare pricing and terms, and place orders once approved
- Manage purchase orders and follow up on deliveries, expected dates, and documentation
- Help coordinate shipments—domestic and international—by requesting freight quotes, communicating with carriers, and following up with customers to confirm receipt
Accounting Support
- Verify vendor invoices for posting in QuickBooks and keep Accounts Payable current
- Process vendor payments by credit card and handle digital payments, ACH transfers, and online invoicing as needed
- Issue customer invoices and follow up on collections
- Help verify employee time data for payroll
Office & Front Desk
- Answer phones, greet visitors, and handle incoming and outgoing packages
- Keep office and shop supplies stocked and provide general administrative support
- Assist with light customer inquiries and order status updates
Digital Filing & Document Management
- Maintain organized digital files in SharePoint for accounting, purchasing, and administrative records
- Update forms, templates, and labels as needed
HR Support
- Help with onboarding paperwork, employee file maintenance, benefits coordination, and attendance tracking
Requirements
- 3–5 years of experience in office administration, purchasing, bookkeeping, or a related role
- Proficient in Microsoft Office (Word, Excel, Outlook) and QuickBooks
- Familiar with SharePoint, Microsoft Teams, and similar collaboration tools
- Organized, methodical, and disciplined—you follow through without being reminded
- A strong communicator who keeps vendors, customers, and teammates informed
- Able to juggle shifting priorities in a fast-paced manufacturing environment
- Comfortable adapting to new software and platforms; quick to learn new systems
- Willing to use AI-assisted tools for everyday tasks—and thoughtful enough to verify the output
- Aware of basic cybersecurity practices: you pause before clicking, and you verify before sending
- Discreet and professional with confidential financial, vendor, and employee information
- Reliable and able to work 40 hours per week on-site
Nice to Have
- Associate’s degree or higher in Accounting, Business Administration, or a related field
- Prior experience in a manufacturing or fabrication setting
- Hands-on AP/AR experience, including invoice processing and collections
- Some exposure to shipping coordination or freight quoting
- Familiarity with digital payment platforms, ACH processing, or online invoicing
- Exposure to basic HR administration (onboarding, benefits, attendance)
- Hands-on experience with AI productivity tools (e.g., ChatGPT, Claude, Copilot)
Pay: $20.00 - $24.00 per hour
