Role Overview
We are seeking a highly organized, proactive, and adaptable Administrative Assistant Office Manager to keep our Golden office running smoothly while providing dedicated administrative support to four of our executive leaders. Reporting to the Human Resources department, you will act as the administrative backbone of our hybrid workspace and a crucial partner to our leadership team.
Balancing the needs of four busy executives requires a master multi-tasker who thrives in a fast-paced environment. Furthermore, because you will report to HR and manage executive affairs, you will regularly handle highly sensitive company information. The ideal candidate approaches every interaction with high emotional intelligence, unflappable composure, and strict confidentiality.
Key Responsibilities
Executive & HR Support (60-70%)
- Complex Calendar Management: Manage, align, and maintain fast-changing calendars for four executive leaders. Act as a strategic gatekeeper to navigate competing priorities and resolve scheduling conflicts seamlessly.
- Meeting Coordination: Schedule executive-level syncs, board meetings, company events, and external partner calls. Prepare agendas, arrange necessary technology, and ensure executives are prepared for their day.
- Travel & Expenses: Coordinate domestic and international travel arrangements, create detailed itineraries, and process monthly expense reports for the supported executives.
- Executive Liaison: Serve as the primary point of contact for internal and external inquiries directed to the executives, drafting professional correspondence on their behalf when necessary.
- HR Administration: Provide administrative support to the HR department as needed, assisting with tasks such as interview scheduling, new hire onboarding logistics, or internal communications.
- Confidential Administration: Handle sensitive leadership documents, strategic plans, and communications with absolute discretion, maintaining strict alignment with HR confidentiality standards.
Office Administration & Culture (30-40%)
- Hybrid Workspace Management: Serve as the primary anchor for our Golden office. Coordinate desk sharing, meeting room schedules, and general logistics to ensure a seamless experience for employees rotating between home and the office.
- First Impressions: Welcome guests, clients, and candidates with a warm and professional demeanor on your in-office days.
- Facility Management: Ensure the office environment is clean, organized, and fully functional. Submit and track building maintenance requests and manage building access.
- Vendor & Supply Management: Order and maintain inventory for office equipment and day-to-day supplies—including VERY IMPORTANT items like coffee, kitchen supplies, etc. Manage relationships with building management, cleaning staff, and catering vendors.
- Employee Experience: Partner closely with your managers in the HR team to plan and execute internal company events, team-building activities, catered lunches, and milestone celebrations to keep remote and in-office staff engaged.
- Mail & Logistics: Manage incoming and outgoing mail, shipping, and receiving.
Qualifications & Requirements
- Experience: 3 years of experience in an administrative, office management, or executive support role, with a proven track record of supporting multiple executives simultaneously preferred.
- Discretion & Trust: Unquestionable integrity and a proven ability to maintain strict confidentiality regarding executive, financial, and HR-related data.
- Exceptional Multi-tasking: The ability to juggle competing demands from four different leaders without dropping the ball or losing your cool.
- Technical Proficiency: Strong command of Google Workspace. Experience with expense reporting software and communication platforms like Slack or Teams.
- Communication Skills: Exceptional written and verbal communication skills. You can tailor your communication style to fit the needs of different executives.
- Problem-Solving: A proactive, "can-do" mindset. You anticipate needs before they arise and troubleshoot logistics calmly and effectively.
