Job Summary:
We are seeking an experienced and dedicated Project Manager to join our dynamic and growing team to help expand our US client base. The Project Manager – Trade Shows will lead the end-to-end planning and execution of national and international trade shows, exhibitions, and industry events. This role is responsible for managing all aspects of trade show operations including logistics, vendor coordination, budget management, booth design, on-site execution, and post-event analysis. The ideal candidate is a detail-oriented project leader with excellent organizational and communication skills, and proven experience in trade show or large-scale event management.
Responsibilities:
Project & Event Management
- Manage the full lifecycle of trade show projects, from initial planning through post-event wrap-up.
- Develop detailed project plans, timelines, milestones, and deliverables for each event.
- Define roles and responsibilities across cross-functional teams, ensuring accountability and timely delivery.
- Ensure all trade show activities align with the company’s brand strategy, marketing goals, and product messaging.
Budgeting & Financial Oversight
- Create and manage event budgets, including forecasting, tracking expenses, and reporting on cost performance.
- Negotiate vendor contracts, services, and pricing to optimize costs and ensure value.
Logistics & Vendor Coordination
- Coordinate all logistical aspects including venue requirements, shipping, installation/dismantling (I&D), and staffing.
- Ensure compliance with union labor rules, venue regulations, safety requirements, and insurance coverage.
Booth Design & Production
- Collaborate with design teams or agencies to develop booth layouts, graphics, signage, and promotional materials.
- Oversee booth construction, furniture, lighting, and technology needs.
- Ensure assets are produced and delivered on time and meet quality standards.
On-site Execution
- Travel to event locations as needed to supervise booth setup, manage vendor interactions, and ensure smooth execution.
- Serve as the main point of contact for all on-site activities including troubleshooting and staff coordination.
- Provide daily briefings and updates to internal stakeholders during events.
Post-Event Activities.
- Compile event recaps and lessons learned to improve future show strategies.
- Oversee the return shipment of materials and booth assets and ensure proper inventory management.
Required Qualifications:
- Bachelor’s degree in Marketing, Communications, Business Administration, Event Management, or related field.
- 4–7 years of project management experience, preferably with a focus on trade shows, events, or experiential marketing.
- Demonstrated success managing multiple trade show events simultaneously.
- Excellent verbal and written communication skills.
- Willingness and ability to travel up to 30–50% of the time (domestic and occasional international).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
