Job Summary:
Senior Helpers of West Oahu is seeking a highly organized and dependable Scheduling Coordinator to manage caregiver schedules and ensure seamless delivery of in-home care services to our clients. This role is critical to maintaining continuity of care, supporting our caregivers, and ensuring clients receive reliable, high-quality service. The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and has strong communication and problem-solving skills.
Key Responsibilities:
Coordinate and maintain daily and weekly schedules for caregivers and clients
Match caregivers with clients based on care needs, availability, and compatibility
Communicate schedule changes, updates, and shift coverage with caregivers in a timely manner
Monitor open shifts and proactively fill them to ensure uninterrupted care
Respond to caregiver call-outs and arrange backup coverage
Maintain accurate scheduling records and client care hours in the company’s scheduling system
Communicate with clients and families regarding schedule updates when necessary
Support onboarding of new caregivers by coordinating initial schedules and introductions
Work closely with the care management team to ensure client care plans are properly staffed
Assist with administrative tasks and reporting as needed
Qualifications:
High school diploma or equivalent required; associate or bachelor’s degree preferred
Previous Scheduling, Administrative, Or Office Coordination Experience Preferred
Experience in home care, healthcare, or staffing environments is a plus
Strong organizational and time management skills
Excellent verbal and written communication skills
Ability to multitask and remain calm in a fast-paced environment
Proficiency with scheduling software and Microsoft Office (Word, Excel, Outlook)
Strong problem-solving and decision-making abilities
Professional, dependable, and customer-service oriented
Physical Requirements:
Ability to sit and work at a computer for extended periods
Occasional lifting of office supplies up to 20 lbs
