Overview:
We are seeking a detail-oriented and highly organized Accounting Administrator/AR Specialist to support our fast-paced and rapidly growing company. This role is critical in ensuring smooth day-to-day operations within the accounting department by managing communications, coordinating schedules, and providing administrative support to the accounting team. The ideal candidate thrives in a dynamic environment, has strong communication skills, can self-delegate when to-do lists are nuanced, and is able to prioritize multiple responsibilities with accuracy and efficiency.
Key Responsibilities:
- Serve as a primary point of contact for customers (and vendors, as needed) regarding general accounting inquiries, ensuring timely, professional, and friendly communication.
- Coordinate and schedule meetings for accounting staff and personnel, including calendar management and logistical arrangements.
- Maintain and organize departmental email inboxes, ensuring inquiries are directed, prioritized, and resolved appropriately.
- Maintain departmental file and training library organization.
- Manage and update shared calendars and scheduling tools to optimize team efficiency.
- Provide administrative and clerical support to the accounting department, with a focus on Accounts Receivable.
- Take ownership of discrepancy resolution to ensure end-to-end accurate reporting of accounts receivable.
- Assist with special projects, reporting, and ad hoc requests from accounting leadership. The Sendero Accounting Department is cross-functional, so tasks outside one’s usual workflow may come regularly as needed.
- Collaborate with internal teams to ensure smooth communication and workflow across departments.
- Uphold confidentiality and handle sensitive information with discretion.
Qualifications:
- Previous experience in an administrative, accounting support, or coordinator role (experience in a fast-paced environment is a plus).
- Strong organizational and time-management skills, with the ability to manage multiple priorities.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite (Excel, Outlook, Word) and Google Workspace; familiarity with Netsuite is a plus.
- Detail-oriented with a proactive, problem-solving mindset.
- Ability to work independently as well as collaboratively within a team.
- Ability to master new concepts quickly and respond to feedback graciously.
- Flexibility to tackle work outside the norm; The Sendero Accounting Department is cross-functional, so tasks outside one’s usual workflow will come.
