Position Overview
Semmax Financial Group is seeking a highly organized, professional, and service-minded Executive Assistant to the CEO who will also serve as the primary front office point of contact and provide light marketing support. This individual will be the first impression for our clients and partners, manage critical executive priorities, and ensure smooth day-to-day office operations. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, relationship-driven environment. This role requires exceptional communication skills, sound judgment, and a genuine desire to serve both clients and internal teams with excellence.
Key Responsibilities
Executive Support
- Manage the CEO’s calendar, appointments, and travel arrangements with discretion and foresight.
- Coordinate internal and external meetings, ensuring agendas, materials, and follow-ups are prepared.
- Handle confidential information with professionalism and integrity.
- Serve as a liaison between the CEO and internal teams, maintaining clear communication and accountability.
- Draft, proof, and format executive correspondence and documents.
Front Office & Client Care
- Serve as the primary phone line contact for all incoming calls, ensuring prompt, professional, and warm client service.
- Manage mail, deliveries, and vendor coordination as needed.
- Support advisor scheduling logistics and client appointment flow as needed.
- Assist with preparing and organizing client materials and welcome packets as needed.
Marketing & Event Support
- Assist with marketing prep tasks such as assembling seminar materials, labeling and mailing invitations, and coordinating vendor deliveries.
- Support event logistics and onsite setup as needed.
- Update internal tracking documents and assist with data entry into CRM or project management platforms.
Qualifications
- Minimum of 3 years in an executive assistant, office management, or client service role (financial or professional services preferred).
- Strong written and verbal communication skills.
- High attention to detail, accuracy, and organization.
- Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams) and willingness to learn internal platforms such as Redtail, ClickUp, Trainual, and Track That Advisor.
- Ability to manage multiple priorities with professionalism and calm under pressure.
- Positive, team-oriented attitude with a client-first mindset.
