This position will require analytical capabilities, attention to detail, and effective cross-functional collaboration to ensure the integrity of financial aid systems and processes. The Coordinator also supports the implementation of regulatory changes, contributes to operational improvements, and helps maintain compliance within a complex and fast-paced financial aid environment.

The Coordinator also supports the implementation of regulatory changes, contributes to operational improvements, and helps maintain compliance within a complex and fast-paced financial aid environment.
Essential Functions
- Coordinates and monitors the administration of federal and state financial aid programs to ensure compliance with Title IV regulations, including upcoming regulatory changes. Interpret federal guidance and implement institutional processes that align with compliance requirements and audit standards.
- Oversees and authorizes financial aid disbursements, ensuring accuracy, timeliness, and adherence to eligibility criteria. Monitor disbursement activity to mitigate institutional liability and ensure proper use of funds.
- Serves as a functional lead in troubleshooting and resolving issues within PeopleSoft and Oracle Student Financial Planning (SFP). Collaborate with IT and technical teams to support system configuration, integration, and optimization aligned with regulatory requirements.
- Coordinates the institution’s Direct Loan programs, ensuring compliance with federal regulations related to loan origination, disbursement, and borrower eligibility.
- Partners with the Office of Finance and Budget and other institutional stakeholders to reconcile and balance daily and weekly financial aid authorization and disbursement activity.
- Coordinates required reporting to external agencies, including Common Origination and Disbursement (COD), NSLDS, and Return of Title IV (R2T4) processes. Ensure timely and accurate reporting while reducing institutional exposure to liabilities.
- Coordinates ongoing and mid-year monitoring of student eligibility, including enrollment, disbursement conditions, and regulatory requirements
- Identifies opportunities to improve processes, strengthen internal controls, and enhance compliance frameworks in response to regulatory changes and operational needs
- Provides guidance and training to staff on system usage, regulatory updates, and best practices. Support cross-departmental problem solving and ensure consistent application of policies and procedures
- Performs other duties as may be required or assigned.
- Bachelor’s degree from a regionally or nationally accredited institution in Business, Finance, or other related fields.
- Two years of experience in the financial aid field.
- Progressively responsible experience at the professional level in the financial aid field.
- Proficient in Microsoft Office Suite or similar programs, specifically Excel.
- Knowledge of state college philosophy and system of higher education.
- Detail-oriented with a focus on risk mitigation and audit readiness and effective cross-functional collaboration and communication.
- Advanced analytical and problem-solving skills.
- Ability to translate regulatory guidance into operational processes.
- Familiarity with PeopleSoft Systems and web application processes.
- Excellent Microsoft Office 365 skills (Outlook, Word. Excel, PowerPoint) and the ability to become proficient in videoconferencing applications, including Teams/Zoom.
- Strong knowledge of State and Title IV regulations and compliance frameworks, including reporting deadline requirements.
- Technical knowledge of monitoring enrollment management for compliance with return of funds within designated timeframes.
- Ability to work in a faced-paced environment.
