What are the responsibilities and job description for the Litigation Secretary position at Selman Leichenger Edson Hsu Newman & Moore LLP?
We are currently accepting Legal Secretary resumes to be considered for one of our on-site CA locations: San Francisco, San Diego, Los Angeles. Must have strong litigation skills, solid work history. 3-5 years experience as a litigation secretary in California is required. NO AGENCIES, PLEASE.
Daily Tasks:
- Assists attorneys with reviewing legal correspondence, pleadings and discovery including thoroughly proofreading and formatting prior to distribution and/or filing
- Drafts standard pleadings, correspondence, memoranda and other documents
- Creates and updates TOA/TOC’s as needed
- Creates documents (such as subpoenas, court forms, routine notices) using Adobe Acrobat, Best Authority and Forms Workflow software as necessary
- Prepares and sends emails to clients and counsel at attorneys’ request, containing attachments and ensuring proper formatting prior to issuance
- Files and/or e-files documents in both State and Federal jurisdiction
- Calendars all appointments, conferences, meetings, deadlines, and reminders, including routinely reviewing and following up on deadlines and appointments to anticipate the needs of the assigned attorney(s)
- Reserves court hearing dates with the court using the reservation system and/or communication with court staff
- Maintains and organizes files in NetDocs in accordance with firm protocols
- Scans and saves incoming case documents (i.e., claim file, claim notes, policies, and underwriting), in NetDocs and/or Partners’ drive
- Photocopy and/or scans documents as necessary
- Coordinates and ensures that conference room is set-up for depositions/meetings as necessary, and notifies receptionist/building security of expected visitors
- Provides back-up secretarial coverage as needed
- Timely ensures accuracy of vendor invoices by preparing check requests and vendor invoices forms per the attorney’s instructions for proper submission to client and accounting
- Handles additional tasks based on the assigned attorneys’ specific requirements
- Creates binders for trials, depositions, and other hearings as needed
- Maintains attorney specific case lists, charts and status of cases
- Follows the standard naming and profiling conventions when scanning, emailing, and saving documents to NetDocs
- Properly prioritize work assignments and consistently completes assigned tasks when expected
Requirements and Skills for Success:
- Solid organizational skills, communication skills, and attention to detail
- Strong clerical skills (typing, work processing, etc.)
- Proficient in Microsoft programs (Word, Excel, PowerPoint, and Outlook)
- Strong knowledge of e-file/e-services systems (i.e., Case Anywhere, First Legal, File & Serve Express, Cm/ECF and Pacer)
- Proficient in NetDocs, iCreate, CompuLaw, Adobe Acrobat, Best Authority and Forms Workflow software
- Proficient knowledge of State/Federal Court Rules, ability to access rules, and ability to stay current on the rules and requirements
- Ability to balance and meet competing priorities and tight deadlines
- Proficient knowledge of legal/litigation terminology, legal documents, court procedures, calendaring procedures, e-filing/services, mail, scanning and saving documents
- Ability to maintain knowledge of client specific guidelines and ability to apply those guidelines accordingly
- Ability to work within a team of lawyers and staff in the Firm
- Some flexibility for overtime
35 hour work week, Monday-Friday. On-site (hybrid consideration after provisionary period). Salary range approximately $80k-$90k DOE.
