Executive Assistant to the Superintendent
Reports to: Superintendent
General Description: The Executive Assistant to the Superintendent is responsible for providing support for the functions of the Superintendent’s Office; direct support to the Superintendent for human resources, management of operations, School Board operations as well as serve as School Board Recording Secretary. This is a highly visible position requiring an understanding of the role of the school in the community. The position requires sensitivity for confidentiality as the Executive Assistant is exposed to the decision-making process of the Superintendent and the Board in the day-to-day governance of the District.
Primary Responsibilities
- Manage the Superintendent’s direction of district-wide routines and operations
- Assist in the development of the agenda for School Board meetings
- Attend all monthly School Board meetings
- Prepare and distribute letters, agreements, contracts and other items approved from the Board agenda, as well as prepare the official minutes of the meeting
- Familiarity with School Board Policy and the use of BoardDocs
- Responsible for maintaining Administrative and Board information posted on the district website
- Collect all materials pertinent to Home Education students, working directly with district home school families
- Monitor professional employee’s certification status and assist in the permanent certification process
- Track and process tuition requests and reimbursement requests for administrators and professional employees
- Track clearance expiration dates for all staff using COMPLY by Edulink
- Create and maintain personnel files
- Process certificated, classified, substitute, and volunteer applications and all required clearances
- Onboard and offboard staff through the district’s employee management system
- Advertise vacancies, Board meetings, Board Committee meetings, and bid notices
- Create and maintain seniority list, non-tenured professional employee list, substitute teacher list, district volunteer list, and staff vision reimbursement list
- Assist in the completion of required reports for submission to PDE
- Responsible for maintaining demographic and administrator data in PDE’s EdNAv2 system
