We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This position plays a key role in supporting daily operations, coordinating with sales representatives, and ensuring smooth communication across departments. The ideal candidate will be proactive, reliable, and able to manage multiple tasks with efficiency.

Key Responsibilities

  • Recruiting & Scheduling
    • Call ZipRecruiter daily to coordinate a weekly job fair.
    • Conduct follow-up calls with candidates to offer positions, complete paperwork, and schedule training (4 hours/day, 4 days a week for 2 weeks during training).
    • Maintain and update leads in Google Calendar as they come in.
  • Communication & Coordination
    • Track follow-ups, including price quotes, scheduling, and next steps.
    • Update team availability in GroupMe.
    • Receive and log attendance updates (sick/late reports).
    • Assign leads to closers and help organize their schedules.
  • Operations & Materials
    • Assist in creating laminated training materials.
    • Order supplies including chemicals, shirts, aprons, and other company essentials.
    • Ensure ServiceTitan records are updated daily with completed tasks and work alongside leadership to follow up on deals.
  • Finance & Reporting
    • Handle credit processing and run Aqua for both companies.
    • Monitor sales financing to ensure compliance with free APR offers.
    • Track and report on daily leads and weekly performance.
    • Complete biweekly “report cards” evaluating sales reps’ activities.
    • Update Google Drive and team groups with applications, sales data, and credit results.
  • Qualifications
  • Strong organizational and time management skills.
  • Excellent verbal and written communication.
  • Ability to multitask and handle sensitive information with confidentiality.
  • Proficiency with Google Suite (Calendar, Drive, Sheets, Docs).
  • Previous administrative or office support experience preferred.
  • Familiarity with ServiceTitan (or similar CRM software) is a plus.

Salary : $30 - $40
