Job Description -
We are seeking a highly organized and proactive Administrative Assistant to support the Executive Administrator in a dynamic, fast-paced environment. This role will provide critical day-to-day administrative and operational support, helping manage foundational responsibilities and coordination activities that enable efficient executive operations.
The Administrative Assistant will work closely with the Executive Administrator to support leadership priorities, site initiatives, employee engagement activities, scheduling coordination, meeting logistics, communications, and special projects. This position requires strong organizational skills, professionalism, adaptability, and the ability to manage multiple priorities with accuracy and discretion.
Responsibilities:
Provide direct administrative support to the Executive Administrator
Assist with calendar coordination, meeting scheduling, travel logistics, visas, and expense reporting
Coordinate conference rooms, catering, visitor support, and meeting preparations
Support employee engagement activities, site events, leadership meetings, and special projects
Track action items, deadlines, and follow-up activities to ensure timely completion
Maintain organized records, documents, and administrative processes
Partner across departments to support smooth execution of business and site priorities
Handle sensitive and confidential information with professionalism and discretion
Maintain and manage floor plans on employee assignments to cubicles
Utilize a Workflow to request purchase orders
Place work orders for maintenance concerns
Maintaining and coordinating communications are projected on all monitor
Responsibilities may evolve based on business needs and direction provided by the Executive Administrator
Qualifications
Previous administrative support experience preferred
Strong organizational and multitasking abilities
Excellent communication and interpersonal skills
Proficiency with Microsoft Office Suite including Outlook, Excel, PowerPoint, Teams, and Word
Ability to prioritize work in a fast-paced environment
Strong attention to detail and follow-through
Self-motivated with a collaborative and team-focused mindset
