Overview
We are seeking a dynamic and organized Marketing / Office Manager to oversee daily office operations and lead marketing initiatives. This role requires a professional with strong administrative skills, experience in scheduling, team supervision, and vendor management. The ideal candidate will possess excellent communication and organizational skills, with the ability to manage multiple tasks efficiently in a fast-paced environment. This position offers an opportunity to contribute to the growth and success of our organization through effective office management and innovative marketing strategies.
This position is mainly a stay-at-home position with periodic visits to main office to take pictures of equipment for marketing efforts or to be trained on a certain task at a high level. At most one day per week in office.
All cost associated with stay-at-home office (laptop, printer, desk, chair, camera if needed) will be paid for by Select Laser Alignment
Duties
- Manage daily office operations, including "front desk" responsibilities answer phones and emails
- Oversee calendar management, scheduling appointments, meetings, and projects
- Coordinate and plan company events
- Oversee and document safety requirements for team with knowledge of ISNetworld
- Handle bookkeeping tasks such as receiving and cross-checking timesheets as well as matching receipts to bank statements
- Utilize Microsoft word to complete estimates and send to clients
- Good record keeping of estimates to follow up on old estimates
- Review reports for spelling errors, use Lumin to pdf all reports into one file and email to clients
- Utilize Constant contact software and update client emails
- Spend dedicated time each week to oversee marketing efforts and ensure a better ROI on marketing budget
- Manage vendor relationships and oversee procurement processes
- Maintain organized filing systems and ensure compliance with record-keeping standards
- Assist with human resources functions including onboarding, employee records, and policy enforcement
- Ensure professional phone etiquette and excellent customer service at all times
Requirements
- Proven experience in office management, administrative support, or related roles with clerical or office experience
- Strong organizational skills with the ability to manage multiple priorities effectively
- Excellent communication skills—both verbal and written—with professional phone etiquette
- Experience in Canva or similar software to make monthly newsletters
- Experience using Constant Contact or similar for email marketing
- Proficiency in calendar management tools, Microsoft suite, and multi-line phone systems
- Knowledge of bookkeeping, payroll processing, budgeting, and human resources functions
- Ability to handle front desk duties efficiently while maintaining professionalism
- Demonstrated ability to lead & develop marketing initiatives within a team setting
This role is ideal for a proactive individual who thrives in an administrative leadership capacity while contributing creatively to marketing efforts. The successful candidate will be instrumental in streamlining office operations and enhancing our organizational presence through strategic marketing activities.
Pay: $23.00 per hour
Expected hours: 40.0 per week
