Position Summary:
This role requires someone who can stay organized, handle multiple tasks at once and keep things moving in a fast-paced environment, while maintaining accuracy. This role will support our Production, Estimating and Install/Service teams. This role is critical to keeping projects organized, costs tracked, and workflows moving efficiently. The ideal candidate is a self-starter who can manage multiple priorities, stay organized under pressure, and contribute to the overall efficiency of operations.
Key Responsibilities:
- Provide administrative support to Production/Estimating/Installation teams
- Responsible for sourcing, negotiating and purchasing all materials required for production
- Maintain relationships with trusted vendors, ability to secure competitive pricing, track lead times and ensure that the materials meet quality standards
- Assist with job costing, tracking expenses, and basic cost analysis
- Maintain and organize job files, schedules, and documentation
- Support estimating processes by gathering and organizing project data
- Track and organize inventory records
- Oversee inventory levels to ensure timely production, monitor usage trends and identify cost-saving opportunities
- Enter and update data accurately and timely
- Coordinate with team members to ensure deadlines and production timelines are met
- Handle general clerical duties such as filing, scanning, and document preparation
- Maintain Equipment logs for repairs & licensing
Qualifications:
- High school diploma or GED required; associate degree preferred.
- Previous experience in a clerical or administrative role, preferably within purchasing, inventory management and/or job costing procedures.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to manage multiple tasks and deadlines simultaneously.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift on occasion 20lbs
- Ability to work in a shop environment as needed

- Proficiency in computer literacy and familiarity with office software
- Strong time management skills to prioritize tasks effectively- Ability to communicate effectively in a professional manner- Previous experience in a clerical or office setting preferred
