What are the responsibilities and job description for the Front Desk Coordinator position at Sedalia Dental?
About the role
You’ll be the first smile patients see and the organizer who keeps both hygiene and treatment schedules on time. You will manage the Treatment Coordinator and Hygiene Coordinators, coach their workflows, and jump in yourself whenever needed to keep the day full. You’ll use OpenDental for communication and practice management, and Microsoft Teams/Outlook for fast internal coordination. We're looking for our next A-player.
What you’ll do
- Lead the front-desk team: Manage daily huddles, assign priorities, coach the Treatment Coordinator & Hygiene Coordinator(s), and audit their work for accuracy and tone.
- Run the books: Pre-appoint hygiene at checkout, protect treatment blocks, balance high-value cases with same-day opportunities, and keep provider days productive.
- Work the ASAP list like a pro: Mine cancellations with OpenDental’s ASAP/recall tools without causing clinical bottlenecks.
- Own patient communication: Greet by name, set clear expectations, and close the loop on all messages by day’s end via OpenDental texting and Outlook.
- Insurance & billing readiness: Verify eligibility/benefits before visits, collect copays/estimates at checkout, and explain EOBs and payment options clearly.
- De-escalate with empathy: Turn lateness, balances, and mix-ups into solutions—educate first, never “snap.”
- Data hygiene & compliance: Keep patient data accurate, document comms in commlog, and follow HIPAA/privacy protocols.
- Report KPIs weekly: Kept-appt %, pre-appointment rate, treatment conversion, confirmations, no-show/cancel trends, and time-of-service collections.
You’re a great fit if you
- Have 2 years in a dental front office or medical scheduling/benefits role.
- Have led peers or light-managed a small team (assigning work, reviewing quality, giving feedback).
- Are fluent with OpenDental (or pick up new PMS fast) and comfortable in Teams/Outlook shared inboxes.
- Schedule with intention (protected blocks, visit lengths, pre-appoint hygiene) and keep calm under pressure.
- Communicate with warmth and clarity—default to educate > enforce.
- Understand insurance basics (deductibles, max, frequencies) and can explain estimates without jargon.
Nice to have
- Experience with OpenDental’s recall/ASAP workflows, commlog discipline, scheduled-vs-planned treatment reporting.
- Exposure to payment options/financing and batch eligibility processes.
