About the Role
We are seeking a detail-oriented, client-focused Client Service Associate (CSA) to join our growing RIA (Registered Investment Advisory) firm. This is a full-time, on-site role located in Exton, PA.
The CSA serves as a key liaison between clients, financial advisors, and custodians, ensuring operational excellence and a seamless, high-touch client experience. This role supports clients with account servicing and financial documentation while partnering with advisors to execute comprehensive financial strategies.
The ideal candidate thrives in a fast-paced environment, is highly organized, and is comfortable working across multiple financial technology platforms, including Redtail CRM, eMoney Advisor, and major custodian platforms such as Schwab, Fidelity, and Pershing.
Key Responsibilities
Client Onboarding & Account Management
- Lead and manage client onboarding workflows from initiation through completion
- Prepare and submit custodian paperwork including new account openings, transfers, and ACATs
- Set up and maintain client profiles within Redtail CRM and eMoney Advisor
- Track onboarding progress and proactively follow up to ensure timely execution
- Process account maintenance requests including beneficiary updates, address changes, and money movements
Client Relationship Management
- Serve as a primary point of contact for client service inquiries
- Respond to client questions regarding account status, documentation, and service requests
- Maintain accurate and up-to-date client records, notes, and documentation
- Escalate complex planning or investment matters to advisors when appropriate
- Support a proactive, client-first service model that enhances satisfaction and retention
Advisor & Meeting Support
- Prepare materials for client meetings including custodial reports, holdings summaries, and transaction histories
- Document meeting notes and track follow-up action items to completion
- Securely share documents and coordinate communications between advisors and clients
Operations, Compliance & Reporting
- Ensure adherence to firm, custodian, and regulatory procedures
- Prepare and review client forms and maintain electronic filing systems in accordance with compliance standards
- Monitor workflows and service requests to maintain operational efficiency
- Assist with internal reporting, recurring account reviews, RMD tracking, and billing support
Technology & Systems
- Utilize Redtail CRM for workflow management, client records, and task tracking
- Maintain financial planning data and client portal access within eMoney Advisor
- Navigate custodian platforms (Schwab, Fidelity, Pershing) for account servicing, reporting, and service tickets
- Identify opportunities to streamline processes and improve system integration
Qualifications
- Strong client service and customer support skills with a client-first mindset
- Excellent written and verbal communication skills
- High attention to detail and organizational excellence
- Ability to manage multiple priorities in a deadline-driven environment
- Working knowledge of financial services concepts and terminology
- Experience in an RIA or financial services environment preferred
- Proficiency with financial technology platforms (Redtail, eMoney, custodian systems) strongly preferred
- Associate’s or Bachelor’s degree in a related field preferred
