What are the responsibilities and job description for the Volunteer Experience Coordinator position at Second Harvest Of The Greater Valley?
The Volunteer Experience Coordinator will be the first point of contact for individual and group volunteers. The Volunteer Experience Coordinator is responsible for cultivating, overseeing, and ensuring a positive, meaningful volunteer experience while maintaining the food bank’s critical operations and mission. This role is responsible for the execution of daily and special projects, as well as volunteer recruitment and retention.
Position Responsibilities
- Ensure that each volunteer has a positive and meaningful experience, through support, instruction, and supervision throughout the shift
- Guide volunteers through projects from start to finish, ensuring access to all necessary supplies and tools
- Demonstrate full ownership of the volunteer center, including set-up and tear-down of the activity, proper reporting to inventory specialists, and ensuring the workspace is consistently clean, safe, and ready for use
- Ensure that group size matches the projects slated for each day by consulting with direct supervisor
- For each group, provide an estimate of pounds or meals provided during the shift
- Conduct volunteer onboarding, facilitate tours, and provide programmatic training geared towards the Food Bank's mission, policies, and procedures.
- Provide volunteer training opportunities on safety, food safety, and warehouse basics, upholding the highest standards of personal safety for yourself, volunteers, and anyone else associated with a project hosted by SHGV
- Manage the volunteer database, web presence, and track volunteer hours
- Recruit individual and group volunteers with the expectation of expanding the program by increasing days, hours, and types of volunteer activities, which may include second shifts, evenings, or some weekends.
- Plan and execute volunteer appreciation events and programs throughout the year
- Partner with Development and Operations to set up large-scale offsite volunteer opportunities
- Collaborate with the Director of Development and Communications to ensure proper stewardship, messaging, and social media usage
- Proactively identify opportunities to streamline and enhance routine job functions including a dedication to continuous improvement, regularly seeking feedback to elevate job execution
Required Skills:
- Ability to read, write, interpret, and analyze general business communications both written and spoken
- Ability to present information in clear and concise terms, and change the presentation to suit the audience's needs,
- Ability to calculate poundage effectively for inventory control
- Competency in Microsoft Office Suite, Canva, Flipcause (or other volunteer management software), or equivalent experience
- Ability to provide clear photos, videos, and other necessary information to our social media and web teams
- Forklift Certified (Preferred)
- Ability to operate a pallet jack and other warehouse equipment
Education/Experience:
High School Diploma and 1-2 years of related experience and/or training; or equivalent combination of education and experience

Work Environment:
This position is based in the volunteer center and routinely uses standard warehouse equipment. The noise level in the work environment can range from quiet to moderate based on the day's activities. Employees must have the ability to work in multiple temperatures, including below freezing, while performing duties of the job. Regular lifting of up to 25 lbs., and frequent lifting of up to 50 lbs. is required. In the event of a federal, state, or local emergency, SHGV employees may be asked to work extended hours and perform tasks outside of their normal duties. Food Banks are considered essential services and often are called upon to respond quickly in a crisis.
