Job Status: Full-Time, Exempt
Objective of the Position: This position maintains the day-to-day finance and HR operations of the organization effectively and efficiently to contribute to a strong foundation for SYSO’s artistic and educational programming.

Compensation
Wages: $38.00–$42.00 per hour ($79,000–$87,000 annually)
Schedule: Hybrid with 3 days/week in office, with some evenings and weekends required (avg. 10 per year)

Job Summary
This role manages the personnel and non-personnel expenses of the organization, supporting staff and contractors with HR guidance. They ensure timely and accurate payments are made and tracked appropriately. The Director sometimes works in a highly confidential environment.
Key Responsibilities
Finance - 80%
- Accounts Payable
- Be responsible for biweekly payroll for 15-20 employees
- Improve/create and manage system for independent contractor self-reported hours and timely payments for approximately 80-100 coaches across programs, as well as non-coach contractors
- Streamline/create and maintain process for staff expense requests, approvals, and payments
- Oversee staff members’ timely and accurate coding of monthly credit card statements
- Accounts Receivable -
- In collaboration with the Data & IT Operations Manager, record all earned and contributed revenue
- In collaboration with the Director of Development, provide reports and insight into restrictions, grant payment schedules, etc.
- Reconcile monthly and provide reports to Executive Director
- Serve as primary liaison with Bank of America
- Maintains city and state licensing
- Prepare annual audit and 990 for SYSO’s third party auditors, typically with field work happening in December and January, and presentation to the board in February or March
- Support Executive Director in building annual $2.5MM budget, with reports and forecasts out of QuickBooks, tuition calculation scenarios, and contributed revenue projections
- Support Program and Department Leads with regular and reliable reports of actuals
Human Resources - 20%
- Manage employee time tracking in BambooHR
- Stay informed on changes to employment law, Labor and Industries standards, and nonprofit law, relaying relevant updates to the ED
- Update and maintain Employee Handbook, job descriptions, and community agreements
- Oversee staff position searches, keeping candidates informed on the process
- Oversee employee onboarding and offboarding, with support from the Data and IT Operations Manager
- Work with third-party benefits managers to research and recommend healthcare, retirement, and other coverage options for employees
- Complete compliance reports on time
- In collaboration with the ED, update policy for employees’ paid time off and implement a process for tracking
Technical Competencies, Position Requirements:
- Expertise in QuickBooks Online
- Proficiency in Microsoft Office programs, notably Excel
- Ability to learn pre-existing processes and recommend improvements
- Ability to bridge communications between staff and auditors
- Familiarity with Melio or other bill pay systems
- Familiarity with BambooHR or other HR management systems

Qualifications and Experience
- BA or equivalent work experience; a minimum of 3-5 years of finance management experience in the non-profit sector
- Experience preparing one or more financial audits and form 990s
- Experience working in the arts and/or educational environment desired
